Encore Master Builder, a leading residential home builder, is seeking a highly organized and detail-oriented Production Administrator to join our team. This pivotal role bridges the gap between sales, pre-construction, and construction operations. The Production Administrator ensures the seamless preparation, organization, and flow of project files and communications from the initial sales agreement through to jobsite execution. This role requires a proactive professional who is comfortable working in a fast-paced environment and who thrives on ensuring details are correct, deadlines are met, and teams are supported.
Key Responsibilities?:
Document Management
Create and file client and production docs into BuilderTrend and Microsoft 365 systems
Maintain version control and secure document storage using Microsoft OneDrive
Support construction managers with documentation, material tracking, and service work orders
Initiate and follow through with document procurement for the house permit files
Scheduling
Pre-construction approvals (architectural, municipal, client selections)
Permit process filing
Monitor current production schedules pre and post construction
Ensure timely handoff of sales files to drafting, estimating, and production teams
Communication
Manage internal communication and task delegation related to sales file updates
Coordinate option addenda, change orders, and pricing updates in BuilderTrend
Serve as a communication bridge between office teams and site supervisors
Qualifications?:
2+ years of experience in construction administration, project coordination, or related field
Strong organizational skills with the ability to manage multiple tasks simultaneously
Excellent written and verbal communication skills
Proficiency with Microsoft 365 (Teams, Outlook, OneDrive, Excel, Word)
Experience with BuilderTrend or similar construction/project management software
Familiarity with residential construction processes and terminology is a strong asset
