Procurement Specialist

The Procurement Specialist is responsible for planning, organizing, directing, and controlling the procurement function of the company. Given the growth of the company, the Procurement Specialist is also responsible for developing, documenting, and improving upon current and new processes in the procurement, inventory/asset management, shipping and receiving functions. The Procurement Specialist works closely with the Operations Team, Project Management Office, and Sales departments to ensure the sourcing, distribution and management of materials and supplies is performed in an efficient, safe, and timely manner.
Responsibilities:
Planning, developing, and implementing purchasing policies and procedures.
Overseeing the evaluation of the cost and quality of materials or services
Working in collaboration with the Operations and Sales teams, identify specialized equipment, materials and/or services that are required for projects.
Working in unison with the operations team to develop and maintain Bill of Materials (BOM) within project work.
Identifying suitable suppliers based on price, quality, availability, reliability, and technical capabilities.
Maintaining cooperative supplier working relationships
Negotiating prices, conditions, service deliverables with suppliers
Taking a proactive approach in reviewing current systems and procedures, making recommendations, and implementing approved changes
Liaising with Finance and suppliers to provide information and resolve any discrepancies or issues affecting payment of invoices.
Creating purchase orders, monitoring transportation, generating invoices, and scheduling delivering and receiving of orders.
Expedite materials and services, as required, to meet the project deadlines.
Negotiations
Partners with departmental leaders, and other key stakeholders to execute capital and operational purchases that deliver cost savings, reduce supplier lead times, and improve vendor performance.
Ensures appropriate supply agreements are in place and guides internal teams how to monitor adherence to the terms of the agreement.
Aligns with internal customers regarding best negotiation positions and provide stakeholders with a balanced view of contract risk and liabilities.
Contract Management
Responsible for all relevant documentation execution including contract SOW, supplier certification including insurance documents as required.
Develops and maintains business commercial terms and conditions.
Works with business partners to develop and define SOW's, business, and commercial requirements.
Negotiates contract details with suppliers to mutual satisfaction of supplier and company.
Manages business requirements for Order Management
Initiates supplier creation where applicable in the Procure to Pay systems.
Supplier Management
Leads the end-to-end supplier management process.
Builds and maintains supplier relationships and drives improvement in the areas of cost, risk, and quality.
Identify and mitigate supplier risks in the areas of financial, capacity, location, single sole source, spend, and revenue, etc.
Educates suppliers on the mechanics of doing business with Federal/Williams Communications
Identifies and resolves various supplier management problems.
Supports selection of new suppliers
Acts as point of escalation for suppliers when needed.
Cost Savings
Drives and delivers cost savings opportunities aligned with organizational commitments.
Develops cost savings proposals and interacts closely with suppliers, and internal customers, to achieve the cost savings.
Creates and maintains cost forecasts (reduction or increase) and cost-tracking for the region.
Qualifications
Post-secondary diploma in a related field and minimum 3-5 -years related experience.
A professional designation related to supply chain is considered an asset.
Experience using QuickBooks Enterprise and/or online is considered an asset.
Strong skills in negotiation and influence skills
Goal and team-oriented, proactive, and willing to learn & improve.
Flexibility and fast adaptation to changing environment.
Demonstrated experience with technology purchases, project management and construction timelines preferred,
Experience in commodity or supply chain management, and contract management.
Job Types: Full-time, Permanent
Pay: $70,000.00-$80,000.00 per year
