The Proctoring Services Assistant (Assistant) supports the Accessibility and Accommodations pillar of the Academic Success Centre. Reporting to the Proctoring Services Team Lead, the Assistant facilitates the processing of course exam materials for students with approved accommodations.
As the lead for exam material processing, the Assistant manages the Proctoring Services administrative office. This includes serving as the primary receptionist and ensuring the space remains clean, organized, and accessible to all clients. Beyond physical space management, the Assistant monitors equipment and assets, oversees communications with University of Alberta faculty and students, and troubleshoots issues related to equipment or exam registration.
The Assistant also contributes to the broader efficiency of the Proctoring Services by assisting with the maintenance of registration systems and the development of instructional materials. The role plays a key part in continuous improvement by participating in procedural reviews, training, and workflow optimization. Additionally, the Assistant supports event coordination and liaises with various university stakeholders to ensure seamless service delivery.
Responsibilities:

  • Manage the end-to-end retrieval, preparation, and meticulous organization of all exam materials and student-specific accommodations.
  • Maintain accurate digital records in our database system by verifying registrations, details, and uploading exam details/materials promptly.
  • Serve as the primary point of contact for the administrative office, handling all stakeholder inquiries via email, phone, and in person.
  • Resolve last-minute exam changes, transport physical materials, and troubleshoot registration or equipment issues under tight deadlines.
  • Oversee the organization, inventory, and cleanliness of the administrative space and proctoring devices to ensure accessibility.
  • Support the coordination of proctors, readers, and scribes during peak periods.
Qualifications:
  • Post-secondary degree or diploma in a related field (or an equivalent combination of education and experience).
  • High proficiency in data-processing, database management, and electronic records, with the ability to maintain extreme accuracy under tight, competing deadlines.
  • Exceptional interpersonal and communication skills, including the ability to triage students in distress and interact respectfully with diverse populations.
  • Strict adherence to confidentiality (POPA), University regulations (Code of Student Behaviour), and a working knowledge of institutional policies and services.
