McRae Law is seeking a Practice Manager - Legal Projects to support our Managing Partner and oversee internal operations in a modern, remote-first law firm. You will coordinate legal projects, manage contractor workflows, and ensure operational excellence. This is not a traditional paralegal role--we operate more like a legal consultancy and are looking for someone who thrives on systems, discretion, and initiative.
You will be trusted to manage key administrative, operational, and project tasks, with room to grow into leadership of operations, systems, or staff. Occasional in-person meetings in Ottawa are expected.
Key Responsibilities
Legal Project Management & Support
Coordinate timelines, tasks, and file organization using Clio and MS Teams
Compile and proofread client documents; support internal reporting and research tracking
Take meeting notes and manage document preparation in MS 365 and Adobe
Office Operations & Contractor Oversight
Lead day-to-day remote admin: scheduling, travel, compliance tracking, and issue resolution
Manage contractors and vendors: oversee contracts, track invoices, and ensure deliverables
Liaise with IT/finance providers; supervise non-legal contractors when needed
Systems & Process Leadership
Maintain and improve internal admin processes and policies
Support team training, documentation, and online collaboration via SharePoint/Teams
Business Development & Communications
Assist with RFP responses, outreach planning, social media, and website updates
Support presentations and legal training event logistics (digital and in-person)
Professionalism & Flexibility
Work independently, meet deadlines, and handle occasional urgent or after-hours needs
Contribute to a positive, trust-based team culture
What We're Looking For
Required
5+ years' experience in legal, government, not-for-profit, or consulting settings
Bachelor's degree or paralegal/legal admin diploma
Excellent organization, writing, communication, and time management skills
Advanced proficiency with Apple, MS 365 (Teams, SharePoint), Adobe Acrobat, and Clio
Experience managing teams, vendors, or contractors
Prudent discretion, sound judgment, and remote work discipline
Preferred
Experience with legal operations or project management
Familiarity with Northern Canada, Indigenous communities and Reconciliation
Comfort with business development tools (e.g., RFPs, communications, event support)
French, Inuktut, or Dene language skills are an asset
Worksite and Travel
This is a remote-first position, but requires occasional in-person meetings in Ottawa (travel at own cost, with notice). Candidates must have a private, professional home workspace and high-speed internet.
Hours: 40/week, 8:30AM-5PM ET (with some flexibility)
