Role Overview
We are seeking a proactive, detail-oriented Administrative Assistant to support our growing production team at Raven Crew Production.
This role blends general administrative support with client-facing responsibilities -- ideal for someone who enjoys organization, clear communication, and being the first point of contact for clients, partners, and visitors.
Under the fast-paced, project-driven environment, the Administrative Assistant will play a key role in ensuring smooth daily operations, supporting production scheduling, and maintaining positive client interactions.
The successful candidate will be bilingual in English & Chinese and will contribute to both office efficiency and exceptional customer service as we continue to expand our creative and production capabilities.
Key Responsibilities:
The role typically includes the following duties:
Oversee the full post-production workflow:
Manage and coordinate all stages from media management, editing, color grading, sound, VFX, to final delivery.
Post-production scheduling:
Develop timelines based on project cycles; coordinate editors, colorists, sound designers, and VFX teams to ensure on-time delivery.
Quality control:
Review rough cuts, fine cuts, color versions, sound mixes, and other deliverables to ensure they meet the director/producer's expectations and the platform's technical requirements.
Communication & coordination:
Maintain efficient communication with directors, producers, VFX teams, music teams, and external post-production studios.
Media & asset management:
Supervise DIT workflows, oversee proper archiving, naming, and backup of materials.
Budget management:
Control post-production costs, including editing, color grading, sound, VFX, dubbing/VO, subtitles, and related expenses.
Vendor management:
Liaise with external post-production vendors; handle quotations, contract discussions, progress tracking, and final deliverable reviews.
Risk assessment & problem-solving:
Identify quality or scheduling risks early and implement timely solutions.
Delivery asset management:
Organize final delivery packages (e.g., ProRes, DCP, audio stems, subtitle files) and ensure all formats meet compliance and platform standards.
Requirements:
1. Work Experience
2-5+ years of experience in post-production coordination/supervision (short-form content, commercials, films, or episodic series are all acceptable).
Experience with vertical short-drama post-production is preferred.
Must have full-cycle project experience (from production to release).
2. Technical Skills
Strong understanding of the complete post-production pipeline: editing, color, audio, VFX, subtitles, motion graphics, etc.
Ability to manage multiple projects simultaneously.
Familiarity with major streaming/platform delivery specifications.
Ability to read and understand storyboards, scripts, and raw footage structures.
3. Software Proficiency
DaVinci Resolve
(editing, color, and delivery workflow)
After Effects
(basic layers and rendering logic)
ProTools / Fairlight
(audio workflow)
Basic understanding of
Nuke / Blender / C4D
(general knowledge is sufficient)
Familiarity with cloud-based collaboration tools such as
