Job Description

The Department of Family Medicine strives to provide leadership by advancing the discipline of family medicine through education and research in primary health care, teaching family medicine residents and medical students, and demonstrating our commitment to lifelong learning and the dissemination of knowledge to Maritime family physicians. Reporting to the Education Operations Manager (EOM), the Postgraduate Site Administrator - Halifax Community is responsible for providing high level, comprehensive management of the Dalhousie Halifax postgraduate program community sites by effectively coordinating all administration activities, including special events, as well as establishing procedures and guidelines.
Key Responsibilities

• Act as the principle contact and primary resource for the Department of Family Medicine's Residency Program for Halifax community-based residents while independently coordinating and administering the program.
• Ensure all program requirements are known and are being followed by both resident and faculty members and manage all recruitment, program and administration related correspondence and inquiries relative to the Halifax community-based program.
• Through direction and supervision, ensure clinical learning experiences in Family Medicine Halifax community sites are scheduled for residents. Ensure all program requirements are known and are being followed by both resident and faculty members.
• Manage the evaluation process for the Halifax site and South Shore residents. Ensure feedback for learners, faculty and presenters is reviewed, researched, and advice/recommendations prepared and distributed as required as relevant and in regard to administration policies and procedures.
• Manage and participate in site special events, such as but not limited to: graduation, year-end and orientation activities. Responsible for the administrative financial management of events and the Halifax community-site budget.
• Facilitate all CaRMS (resident selection) site specific requirements as well as accreditation information and activities for the Halifax community site.

As this position is in a clinical academic department based within Nova Scotia Health facilities, NSH's vaccination and other relevant workplace policies may apply.
The incumbent will be required to attend in-person, site specific events periodically both within Halifax and in South Shore sites.
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications

• Undergraduate degree in business or a related field with three to five years' progressive relevant experience in administration in a university setting (or an equivalent combination of training and experience).
• Superior written and oral communication skills.
• Ability to work independently with advanced attention to detail and the ability to multitask and use initiative.

Assets

• Experience with supervision of staff.
• Demonstrated advanced computer proficiency including software packages (MS Office etc.) including Excel.
• Experience with webinar systems (Zoom, MS Teams) or on-line tools.
• Knowledge of the medical schools and technologies such as Dalhousie intranet DalMedix, One45 (online evaluation program), Brightspace, or similar software.
