The Portfolio Operations Manager plays a key role in overseeing both real estate and operating company performance within our investment portfolio. Reporting directly to ownership, this position ensures that assigned commercial properties and operating businesses are managed efficiently, strategically, and in alignment with the company's long-term objectives.
The ideal candidate is a hands-on, detail-oriented professional who can coordinate across multiple disciplines -- property management, leasing, construction, and operations -- while maintaining a strong business perspective and representing ownership's interests in all matters.
Key Responsibilities
o Property Oversight:
o Liaise with third-party property management firms.
o Review and analyze monthly property management reports, operating budgets, and variance explanations.
o Provide recommendations to improve operational efficiency and asset performance.
o Leasing & Tenant Relations:
o Coordinate with commercial real estate brokers and leasing agents.
o Review lease offers, renewals, and amendments for assigned properties.
o Ensure lease terms align with ownership goals and compliance requirements.
o Acquisitions & Investment Review:
o Evaluate potential property and company acquisitions.
o Prepare financial models and business cases to support investment decisions.
o Conduct due diligence and present findings to ownership.
o Construction & Project Management:
o Represent ownership during property improvement and development projects.
o Attend design and coordination meetings, review drawings and specifications.
o Monitor contractor invoicing and project budgets.
o Provide monthly budget updates and progress reports to senior management.
o Budgeting & Financial Oversight:
o Participate in annual budgeting for assigned properties and business units.
o Monitor performance against budget and identify areas for improvement.
o Operating Company Oversight:
o Review reporting and performance metrics for operating companies assigned to them.
o Support and oversee the operations managers within those businesses to ensure efficiency, compliance, and alignment with strategic objectives.
Qualifications
Post-secondary education in business, finance, real estate, or a related field (or equivalent experience).
5+ years of experience in property management, commercial real estate, or operations management.
Strong understanding of budgeting, financial analysis, and business case development.
Experience managing construction or capital improvement projects.
Excellent communication, negotiation, and organizational skills.
Proven ability to manage multiple priorities and stakeholders simultaneously.
