Duties



Assist licensed physiotherapists with patient assessments, treatment setups, and therapy sessions to promote recovery and improve mobility. Prepare treatment areas, equipment, and supplies to ensure a safe and efficient environment for therapy sessions. Educate patients on prescribed exercises, stretches, and self-care techniques to enhance their recovery process. Manage appointment scheduling using electronic calendars such as Microsoft Outlook Calendar and Google Workspace, ensuring optimal clinic flow. Handle administrative responsibilities including data entry, filing, and updating patient records with accuracy and attention to detail. Support office management tasks such as bookkeeping using QuickBooks, invoicing, and maintaining financial records. Answer multi-line phone systems with professional phone etiquette, directing calls appropriately and providing excellent customer service. Perform clerical duties including proofreading documents, transcription of notes, and managing correspondence via DocuSign or other digital platforms. Maintain organized filing systems for patient records, insurance documents, and other confidential information in compliance with privacy regulations. Provide front desk support by greeting visitors, managing appointment confirmations, and handling general inquiries efficiently. Assist with event planning for clinic workshops or community outreach programs to promote health awareness initiatives. Support project coordination efforts within the clinic to improve operational workflows and patient engagement strategies.

Experience


Candidates should possess prior administrative experience within a healthcare or office setting, demonstrating strong organizational skills and computer literacy across Microsoft Office Suite (Word, Excel), Google Workspace tools, and data entry platforms. Experience in office management or personal assistant roles is highly valued. Familiarity with bookkeeping software such as QuickBooks is preferred. Excellent typing skills combined with attention to detail in proofreading and transcription are essential for success in this role. Applicants should demonstrate exceptional customer service abilities along with effective phone etiquette when interacting with patients and team members. Previous experience working at a front desk or performing clerical tasks in a busy environment will be advantageous. A background in event planning or project coordination can help support community outreach efforts. This position requires proactive multitasking capabilities, strong organizational skills, and the ability to manage multiple priorities efficiently while maintaining professionalism at all times.
