Position Overview

The Personal Tax Administrator is a key member of our tax services team, responsible for managing administrative tasks during our busy personal tax season. This role involves the recording, sorting, and scanning of a high-volume of tax information, supporting the tax team with a variety of administrative tasks, and maintaining utmost confidentiality for our clients. The ideal candidate will be highly organized, adaptable, and able to meet deadlines in a fast-paced environment, providing reliable contributions to the team and ensuring a smooth flow of work through the system. Overtime opportunities are available during peak periods. There is also potential for an extension of employment beyond the tax season, based on performance and business needs.

Minimum Qualifications

Education/Certifications

High school diploma or equivalent required; post-secondary education in business, administration, or related field preferred. Courses or certification in tax administration or accounting are an asset.
Technical Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat Ability to use office equipment such as scanners and printers efficiently. Strong attention to detail and ability to maintain confidentiality. Adaptability to new software or processes as needed. Familiarity with tax or accounting-related software is preferred. Knowledge of Canadian tax forms and returns is preferred.
Essential Duties and Responsibilities

Tax Document Management:

Accurately record client information into our practice management software Sort and scan personal tax documents, ensuring all information is organized and filed according to company and CRA requirements. Assist in the tracking, sending for signature, and filing of tax forms, ensuring all relevant documents are completed and submitted on time. Organize and maintain both electronic and paper-based filing systems for tax documents, ensuring accessibility and security of confidential information.
Confidentiality and Data Security:

Maintain the strictest confidentiality in handling all tax documents, ensuring that sensitive information is safeguarded. Adhere to firm policies and procedures for managing client data and tax records, implementing best practices for data security and privacy.
Administrative Support and Team Collaboration

Provide clerical support such as photocopying, faxing, and scanning documents for tax engagements. Handle the assembly of tax packages for clients, including printing, binding, and ensuring that all necessary forms are included. Manage the process of retrieving, tracking, and uploading client documents via secure portals or other digital platforms. Contribute to a positive and collaborative team environment, aiding colleagues during peak tax seasons.
