Seeking a highly organized and proactive Personal Assistant to provide high-level administrative, organizational, and personal support to the employer. Responsibilities
Staff Supervision:
Monitor the work of staff and vendors to ensure household standards are consistently met
Personal and Professional Liaison:
Act as the primary point of contact between the employer and internal and external contacts
Household and Property Oversight:
Manage household maintenance, from routine upkeep and inspections to managing renovations and repairs of properties
Administrative Support:
Manage email correspondence, phone calls, and other communications as directed
Filing and Record-Keeping:
Organize and maintain both digital and physical filing systems, as well as manage confidential documents
Calendar and Scheduling:
Maintain and organize complex calendars, schedule meetings and appointments, and send timely reminders
Travel and Logistics:
Book and coordinate travel arrangements, including flights, hotels, and transportation and create detailed itineraries
Research:
Conduct research on a variety of topics and present concise summaries
Event Planning:
Arrange and coordinate events and manage vendors
Financial Tasks:
Track household expenses, pay bills, manage basic expense tracking, process returns as directed
Inventory management:
Track and restock all household supplies, including groceries, cleaning products, and other essentials
Errands and Personal Tasks:
Run various errands, such as grocery shopping and dry cleaning, and handle other personal tasks as requested
General support:
Anticipating the family's needs and performing tasks to ensure their lives run smoothly
Skills
Prior Experience:
Proven experience as a Personal Assistant or in a similar role, preferably supporting UHNW individual(s)
Organizational skills:
Exceptional organizational and time-management abilities with strong attention to detail
Leadership and management:
Proven ability to supervise staff, delegate tasks, and ensure high standards are maintained.
Communication:
Excellent verbal and written communication skills to interact effectively with the employer, staff, and vendors.
Discretion and trustworthiness:
The ability to handle confidential information with professionalism and integrity.
Problem-solving:
A proactive, can-do attitude and the ability to think on one's feet to address issues as they arise.
Flexibility:
The ability to work flexible hours and adapt to the changing needs of the household or unexpected situations
Computer Skills:
Proficiency with office software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Independence:
