Under the direction of the Associate Dean, Performance and Public Events as the Performance Assistant, you will play an essential role in supporting the day-to-day operations of our office. Relying on your strong organizational skills, you will serve as our first point or contact, coordinate meetings and appointments, assist with event planning and maintain an inventory of instruments and parts.
Your responsibilities will include:

  • Responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Booking rooms and arranging appropriate accommodations
  • Updating and maintaining records
  • Writing routine documents and correspondence
  • Editing content for brochures, newsletters, websites and/or handbooks
  • Maintaining event calendar
Essential Qualifications:
  • College Diploma (2 years) or acceptable combination of equivalent experience.
  • Minimum two (2) years of recent front-line customer service experience coordinating meetings and appointments and assisting with event planning, preferably within a post secondary setting.
  • Demonstrated experience managing calendars, coordinating meetings and appointments, including developing schedules, agendas, and meeting materials
  • Experience determining logistics and coordinating events
  • Demonstrated experience drafting correspondence and documentation and collating and organizing data for reports
  • Demonstrated experience fostering positive relationships with internal and external stakeholders
  • Advanced proficiency in MS Office Suite, and virtual meeting platforms (e.g., Zoom, MS Teams)
  • Excellent interpersonal and communication skills, including verbal and written
  • Exceptional organizational and time management skills, and flexibility in adjusting to changing circumstances
  • Ability to contribute as a team player, projecting a positive, professional, courteous and congenial attitude
