We\'re offering an exciting opportunity to join our thriving People Services team as a permanent, full-time People Services Coordinator at GBGH. As the first point of contact you will deliver a welcoming and supportive experience to all staff, making a direct impact on their day-to-day experiences. You will support various functions, including talent acquisition, employee relations, labour relations, recognition and engagement, payroll, benefits administration, and human resources systems. If this sounds like you, we would love to have you join us!KEY ACCOUNTABILITIES & RESPONSIBILITIES

  • Be the welcoming face of the People Services team, greeting visitors, answering questions, connecting them with the right team members
  • Enhance the employee experience by supporting employee relations, addressing inquiries, resolving issues, and fostering a positive work environment
  • Play a key role in the candidate journey by coordinating interview logistics, conducting reference checks, and ensuring compliance
  • Manage onboarding and offboarding processes, ensuring smooth transitions for all staff
  • Provide essential support for recognition and retention initiatives, contributing to a positive workplace culture
  • Assist in keeping employee data accurate by managing updates in human resources systems and maintaining organized employee files
  • Support payroll by handling data entry, generating reports, and monitoring the payroll inbox
  • Prepare confidential documents, proposals, and presentations for meetings and workshops
  • Assist with Labour Relations by scheduling meetings and preparing materials for arbitration and collective bargaining
  • Handle administrative tasks such as preparing meeting materials, taking minutes, drafting reports, and following accounting procedures for purchase orders and invoices
  • Manage email inboxes, providing timely responses and maintaining organized communication
  • Stay informed on GBGH policies, Collective Agreements, and best practices to ensure compliance
  • Offer backup support to the People Services & People Experience teams and assist with additional duties as needed
QUALIFICATIONS & EXPERIENCE
The ideal candidate will possess the following key competencies, record of experience and academic preparation:
  • Diploma in Human Resources Management, Business Administration, Psychology, or related field
  • Professional certification in Human Resources (e.g., HRPA, PHR, SHRM-CP) preferred
  • One to three years of Human Resources experience and/or equivalent experience
  • Experience in a unionized environment is an asset
  • Experience providing committee/meeting support and minute taking
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and HRIS software
  • Previous payroll related experience an asset
  • Strong communication skills (written/oral) and interpersonal skills
  • Strong client focus with an awareness of and sensitivity to diversity
  • Ability to build relationships at all levels of the hospital
  • Creative problem-solver
  • Excellent follow-through skills and proven ability to take initiative
  • Ability to work independently and as part of a team
  • Proven ability to work in a fast-paced, high-volume environment with strong multi-tasking and prioritizing abilities
  • Ability to maintain a high level of confidentiality and operate with discretion in sensitive situations
  • Ability to adjust work schedule to accommodate organizational needs
  • Demonstrated consistent punctuality and attendance record, maintaining a high level of reliability and commitment to performing duties with efficiency and effectiveness in previous roles

  • As a partially designated French speaking organization, French verbal and written communication skills are considered an asset in this position
