Our hospice residence is a 10-bed facility, where individuals and their families receive personalized and dignified end-of-life-care.

About the Position



Working in partnership/collaboration with the Executive Director and others on the Hospice leadership team, the

People Services Coordinator

provides services to all staff and leadership related to the people services in the organization. This is a hands-on position responsible for a variety of HR functions including recruitment, onboarding, employee relations, and payroll and administration support.

Duties and Responsibilities:



Recruitment, Onboarding and Retention

Manage full cycle recruitment process for employees, including: job posting, candidate screening, conducting interviews, checking references, and offering jobs to successful candidates. Develop, edit, and maintain job postings and job descriptions in collaboration with departmental managers and Executive Director. Manage the vulnerable sector and criminal record check process for employees. Facilitate the onboarding process for new employees, including account set up, welcome package, orientation schedule, training, allocation of space and equipment. Research and compare job descriptions, salary scales and performance management systems. Create retention programs, including training and career development.
Employee Relations

Serve as a point of contact for employee inquiries and concerns, providing guidance and support. Address employee relations issues and conduct investigations when necessary. Ensure compliance of Hospice Halifax policies and procedures with relevant employment laws and regulations. Promote a positive work environment through communication, mediation, and conflict resolution. Plan, develop, implement, and evaluate human resources and labour relations strategies including policies, procedures and programs. Advise Executive Director, management team and staff on the interpretation of policies, compensation and benefit programs. Follow the process for tracking staff availability, leaves of absence, and time off requests. Support the attendance management process in collaboration with the management team. Participate in planning recognition activities (Nurses, Volunteers, Social Work, etc.).
Performance Management

Support the management team with the performance review process, including attending performance reviews, preparing documentation, goal setting and ongoing learning and skill development. Provide managers and employees with guidance on performance improvement strategies and disciplinary actions when needed.
HR and Benefits Administration

Maintain accurate employee records and HR database, ensuring data integrity and confidentiality. Prepare payroll according to schedules, updating timesheets and employee information, including notes for updates, changes, exceptions; coordinate with Finance for timely and accurate processing of payroll. Administer employee benefits programs, including health insurance, retirement plans, and other benefits. Assist employees with benefit enrollment, changes, and inquiries, ensuring accuracy and compliance with policies and regulations. Prepare HR-related reports and metrics for management review and decision-making. Manage HR budget for recruitment, recognition, education, etc. Support Executive Director and management team team in overall budget preparation Assign and track the building access process (fobs). Assign and track the allocation of all assets, including laptops, phones, lockers, etc. Track and order required items, including name tags, etc. Other duties as assigned by Executive Director

Qualifications and Competencies:



Education and Professional Experience

Undergraduate degree in Human Resources, and/or a related field or combination of Human Resources Certificate program and relevant experience. 2+ years of HR experience in a generalist, coordinator, or advisory role. Previous experience in human resources administration, staffing, scheduling, and payroll. Previous experience in a healthcare setting is considered an asset.

Exceptional organizational skills, ability to meet deadlines and adapt to changing priorities. Strong problem-solving and decision-making skills. Demonstrated accountability for work, following through with accuracy and consistency. Ability to balance independent work with collaboration as part of the leadership team. Positively contribute to the Hospice Halifax culture with a focus on the Mission, Vision and Values. Possesses cultural awareness and sensitivity. Knowledge of employment legislation and up to date with HR best practices. Excellent verbal and written communication skills, ability to create content for internal and external. Demonstrated computer literacy, including Microsoft Suite, Google Suite, and other applications. Experience with scheduling and payroll systems. Ability and willingness to learn new systems.
Additional requirements

Willingness to help out in all areas of the Hospice as needed, including the Hospice Thrift Store. Supports Hospice fundraising & community awareness activities.
Participates on internal committees as required and meets regularly with the Hospice staff team.

Positively represents Hospice in the community. Follows all Hospice policies and maintains confidentiality. Ability to provide a clear Criminal Record Check upon hire.

Compensation:

Hours of Work:



Permanent, Full time, 40 hours per week We offer flexible hours and opportunities to work remotely in a hybrid capacity. Some work and events will occur outside of office hours including evenings and weekends.
