What we are looking for
The People Coordinator will be responsible for supporting the administrative functions of the Human Resources team and the supporting office administration duties at GoodLeaf Farms in Calgary
They will coordinate with various stakeholders within the Farm to support hiring activities, payroll time and attendance, reception duties and front office tasks (invoicing, mail and package distribution/receipt greeting/sign in of guests), employee relations and/or concerns, maintaining accurate employee records, and other people-related activities, as assigned. This role is an in-office position and will be required to work flexible hours to support the various activities as required.
Responsibilities
Staffing and Recruitment Support (as directed)
Support recruiting efforts by screening resumes on job boards, conducting phone pre-screens, arranging interviews and conducting reference and/or background verifications.
Post (internal) job opportunities and assist with screening internal posting applicants.
Collaborate with operations and staffing agencies to identify temp staffing required for operational demands.
Attend job fairs as required.
HR Dashboards, Payroll & Database Upkeep
Review bi-weekly timecards of employees, ensure no outstanding actions are needed in coordination with the Time and Attendance Managers
Track, document, and ensure all applicable paperwork is completed for organizational changes, i.e. position transfers/promotions etc.
Assist with payroll inquiries from employees and leaders.
Compile reports to support HR initiatives as needed; manage and update all HR trackers regularly
Participate in the HR team's projects when required.
Administration
Manage the intercom; greet guests, ensure the visitor protocol is completed before entering and maintain visitor logs
Order / pick-up catering for leadership, conference meetings, training sessions and employee events as requested
Maintain HR filing system, and file when required
Order and track office supplies and farm uniforms (if required)
Pickup / drop off mail regularly
Liaise with office cleaner to ensure all supplies are stocked
Other administrative duties as assigned by the People Business Partner
Onboard New Hires, Off-board Exits
Create new hire packages, review new hire documents filled out by new hire, set up new hire into all GoodLeaf HRIS , upload documents to payroll and file in efile and paper folders once completed.
Add employees to appropriate training platforms to complete the required compliance training (e.g, Alchemy, Citation etc.)
Work with IT to ensure appropriate security badge, hardware, phone, email and systems access has been added (new hires) and disconnected (departures)
Retrieve lock and locker contents upon departure of operations employee.
Facilitate the New Hire Orientations and coordinate with the Hiring Managers on their 30-60-90-days review.
Training
Coordinate external training with third party vendors based on the needs of the business.
Schedule training with employees and leaders in calendars.
Track all training completed in training matrix, review upcoming training that is expiring and work with the People Business Partner and Managers to re-train employees as needed.
Schedule compliance training
Health & Safety
Participating in joint health and safety committee meetings by taking meeting minutes and follow up on activities
Qualifications & Educational Requirements
Post-secondary degree or diploma required with a preference for those in a program in Human Resources, Business or Psychology
Preferred 1-2 years' work experience in a fast-paced business / human resources work environment
Strong computer literacy in Microsoft (ie. Word, Excel, PowerPoint)
Experience with ADP is an asset
Excellent verbal and written communications
Knowledge of employment legislation (Employment Standards of AB) is an asset
High level of logic, problem-solving and analytical skills
Reliable, with a high level of initiative, organization, and self-sufficiency
Flexible work hours and willingness to work evenings and weekends, when required
Ability to maintain confidentiality.
Recruitment experience is a definite asset.
Mandatory to have a valid driver's license
