Role Summary
The People & Culture AI, Data, and Systems Partner supports the modernization and continuous improvement of People & Culture operations at Menno Place by integrating systems, analytics, and automation across multiple entities (Home, Hospital, Apartments, Corporate). This role serves as the technical and analytical backbone of the department, ensuring data integrity, digital integration, and insight-driven decision-making in alignment with Menno Place's Vision, Mission, and SERVICE values.
Working collaboratively with the Executive Director, the Partner ensures P&C systems are efficient, compliant, and capable of supporting workforce planning, payroll, compliance, and strategic reporting. They bridge the gap between human expertise and digital intelligence, enabling the organization to make data-informed decisions that improve culture, retention, and operational performance.
Key Accountabilities - Systems Integration and Optimization
- Manage and optimize all People & Culture digital platforms, which presently include ComVida, GoldCare, DocuSign, TeksMed, WorkSafeBC portals, Surge Learning, Enterprise Time Keeping, and HR SharePoint sites.
- Lead or support system upgrades, testing, and alignment of data between HR, Finance, and Payroll.
- Build and maintain digital workflows to reduce manual processes (e.g., onboarding automation, probation tracking, 12-month check-ins, recognition tracking).
- Create linkages between systems to improve data flow and reporting integrity.
Analytics and Reporting
- Develop and maintain dashboards and scorecards to monitor KPIs such as turnover, absenteeism, grievances, hiring timelines, retention, and workforce demographics.
- Provide regular analytic reports to the Executive Director and senior leadership to inform decision-making and board reporting.
- Support Pay Transparency Act compliance, union collective agreements (HEU CBA and FBA, BCNU NBA) workforce metrics, and succession data submissions.
- Conduct predictive analysis to identify workforce trends and risks (e.g., overtime, injury patterns, or resignation forecasts).
Data Governance and Compliance
- Establish and maintain a data governance framework ensuring confidentiality, accuracy, and security of employee data.
- Oversee system permissions and audit trails for all HRIS and P&C-related systems.
- Collaborate with Finance and Payroll to reconcile headcount and position control reports monthly.
- Ensure compliance with all legislative requirements under the Employment Standards Act, FIPPA, and Pay Transparency Act, and Collective Agreements.
Project Management and Continuous Improvement
- Support or lead projects related to process automation, AI-assisted HR analytics, or data-driven engagement tools.
- Design and implement process maps, SOPs, and failure-mode assessments (PFMEAs) for HR-Finance-Staffing intersections.
- Partner with IT and external vendors on integrations, security, and reporting automation.
- Collaborate with the People & Culture Partner - Operations to connect data insights to people strategies.
Collaboration and Leadership Support
- Provide technical mentorship to HR team members to improve data literacy and system usage.
- Support the Executive Director with analytical insights for grant submissions, audits, and strategic plan metrics.
- Participate in committees or working groups focused on digital transformation, employee experience, and analytics innovation.
Qualifications Required
Education, Training, and Experience  
- Bachelor's degree in Human Resources, Business Analytics, Information Systems, Finance or related discipline.  
- Five (5) years of progressive experience in HR systems, data analytics, or related operational analytics role.  
- Experience in healthcare, long-term care, or a multi-entity organization considered a strong asset.  
- Certification in data analytics, HR systems, or process improvement (Lean Six Sigma, Power BI, or equivalent) an asset.
-CPHR or CPA considered an asset
Knowledge  
- Demonstrated understanding of HR data, analytics, and compliance frameworks.  
- Working knowledge of HRIS, payroll systems, and reporting tools (ComVida, GoldCare, Power BI, Excel).  
- Knowledge of applicable employment legislation and data privacy laws.
Skills and Abilities  
- Strong data visualization and reporting skills (Power BI, Excel, or Tableau).  
- Excellent analytical, problem-solving, and systems-thinking abilities.  
- High digital fluency and ability to translate complex data into actionable insights.  
- Exceptional attention to detail and accuracy.  
- Proven collaboration skills with HR, Finance, IT, and Operations stakeholders.  
- Strong written and verbal communication skills.  
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
