This role is ideal for a payroll leader ready to take on a strategic and hands-on mandate to transform payroll operations. You will oversee all payroll activities across Canada and the US, ensuring timely, accurate, and compliant payroll execution while leading the selection and implementation of a new payroll system. In addition to managing a small team, you'll drive improved governance, automation, and process documentation, playing a key role in supporting the company's growth and audit-readiness.

Job requirements
8+ years of payroll experience, including at least 2 years in a payroll leadership role overseeing both Canadian and US payrolls.
Comprehensive knowledge of Canadian and US payroll rules/legislation and employment legislation required, particularly British Columbia, Texas, New York and California
Demonstrated experience leading a payroll system implementation or transition project, including working with vendors and internal stakeholders.
Hands-on experience with ADP payroll platforms (Canada and US), and knowledge of system migration considerations.
HRIS experience (HiBob preferred) for managing employee lifecycle processes and reporting and the integration with core payroll platforms and ERP.
Expertise in 401(k) and RRSP plan administration and compliance, including deductions, limits, and reporting.
Proficient in Microsoft Office 365, especially Excel (pivot tables, data analysis).
Excellent communication and interpersonal skills, with the ability to explain complex payroll matters clearly to non-specialists and engage confidently with employees at all levels.
Strong organizational and problem-solving skills with a proactive, detail-oriented approach.
Certified Payroll Manager (CPM) or Certified Payroll Professional (CPP) designation (or equivalent) is required
Ability to prioritize and work effectively under tight deadlines, be independent and work in a collaborative group-oriented environment with the help of sound judgement in decision-making processes
Job responsibilities
Operational Leadership
Lead and manage the end-to-end payroll function for Canada and the US, including oversight of payroll processing, payroll accounting, statutory reporting, and reconciliations.
Supervise, manage, and mentor payroll team members, including the Senior Payroll Specialist, fostering continuous improvement, cross-training, and professional development.
Redesign and enhance payroll processes to increase automation, reduce manual errors, and ensure the highest standards of accuracy, timeliness, and auditability.
Oversee payroll deductions and benefit integrations, including accurate administration and remittance of 401(k) and RRSP contributions, benefit premiums, and other voluntary/involuntary deductions.
Coordinate with the People & Culture and Finance teams to manage compensation events (e.g. bonuses, terminations, leaves, retroactive adjustments, incentives) and ensure correct financial treatment.
Co-ordinate efficient and comprehensive responses to payroll questions, concerns, or discrepancies, ensuring clarity, professionalism, and empathy in all interactions.
Manage the relationship with ADP WFN and ADP Run (Canada and US), ensuring all payroll services, tax filings, disbursements, and year-end activities (e.g. W-2, T4, ROEs) are completed accurately and on time.
System Implementation & Transformation
Lead the implementation of a new US payroll software system, including planning, requirements gathering, configuration, testing, data migration, go-live coordination, and change management.
Act as the primary Finance liaison to the People & Culture team for the implementation and integration of HiBob, ensuring payroll requirements are captured, workflows align with financial controls, and data flows support accurate payroll processing and reporting.
Governance, Compliance & Controls
Serve as the company's primary payroll compliance expert for Canadian and US jurisdictions -- ensuring full adherence to federal, state/provincial, and local regulations.
Develop and embed payroll governance frameworks, including controls, policies, authorization matrices, and documentation to support internal audits and SOX compliance.
Own payroll tax compliance, including timely filings and payments of federal, state, and provincial taxes, unemployment, WCB/EHT, and other employer obligations.
Develop and implement payroll policies, controls, and procedures in line with SOX compliance and internal audit standards.
Reporting & Financial Integration
Ensure accurate general ledger payroll journal entries, posting into ERP systems (SAP), and support month-end and year-end close processes.
Provide timely and accurate payroll reports and analytics for Finance, HR, and executive management; proactively identify and resolve variances or risks.
Job benefits
Salary range: CAD $120,000-130,000, depending on experience (please note that the top end is reserved for candidates who have not only the requirements, but also many of the "nice-to-have" qualifications).
