SUMMARY:
We are seeking a highly organized and detail-oriented Payroll Manager to join our Finance team. In this critical role, you will be responsible for the end-to-end payroll function for over 700 salaried, commissioned, and hourly employees across multiple entities throughout Canada. You will ensure payroll is processed accurately and on time, in compliance with all relevant legislation, and collaborate closely with Finance and HR to support a variety of compensation programs and business initiatives.
You'll also play a key role in supporting integrations, driving process improvements, and maintaining strong relationships with both internal stakeholders and external government agencies.
RESPONSIBILITIES:
Oversee accurate and timely semi-monthly payroll processing for all Canadian employees using ADP Workforce Now.
Partner with Finance and HR to manage quarterly, year-end, and ad hoc payments, including commissions, merit bonuses, incentive programs, and employee reimbursements.
Administer all aspects of payroll operations, including data input, audits, edits, and reporting.
Identify and manage taxable benefits and ensure proper reporting.
Reconcile payroll runs and resolve discrepancies by analyzing underlying data.
Ensure timely remittance and compliance with all government reporting requirements, including T4s, T4As, RL-1s, EHT, WCB, and garnishments.
Lead the year-end payroll process, ensuring all filings are accurate and completed on time.
Contribute to annual payroll budgeting and forecasting.
Prepare and present monthly budget vs. actuals, department allocations, and forecast updates.
Compare active staff records with users assigned under different software or system licenses to ensure alignment and cost control.
Complete and submit monthly Statistics Canada surveys related to payroll and employment data as required.
Monitor and maintain compliance with all provincial and federal payroll legislation; proactively resolve any tax-related issues.
Liaise with CRA, Revenue Quebec, and other government agencies, and support external audits as needed.
Serve as a primary point of contact for employee payroll inquiries, providing prompt and clear resolutions.
Collaborate with Finance to provide general ledger payroll details, support reconciliations, and assist with monthly close processes.
Develop and maintain custom payroll reports using ADP and Excel; support payroll-related decision-making through data analysis.
Lead the integration of payroll systems during acquisitions and transition newly acquired entities onto ADP.
Manage payroll amalgamations, ensuring all filings and transitions are executed by required deadlines.
REQUIREMENTS:
Minimum 5 years of progressive payroll experience in a multi-provincial Canadian environment.
Experience processing payroll in ON, QC, MB and BC is considered a strong asset.
Deep understanding of Canadian payroll legislation, best practices, and compliance standards.
Advanced proficiency in ADP Workforce Now and Microsoft Excel (including pivot tables and VLOOKUP).
Exceptional attention to detail, accuracy, and organizational skills.
Strong interpersonal and communication skills; able to explain complex payroll issues clearly and tactfully.
PCP or CPM certification (required).
Experience managing payroll transitions and integrations during acquisitions is a strong asset.
