This is an exciting opportunity for a detail-oriented payroll professional to join a passionate finance team in a role that ensures employees are paid accurately and on time-making a meaningful difference in the employee experience while supporting business operations across multiple provinces and territories.
Key Responsibilities
As the Payroll Coordinator, you will play a pivotal role in managing and administering bi-weekly payroll for approximately 600 employees across four provinces and territories. Your responsibilities will include:
Payroll Processing
Prepare, review, and process bi-weekly payroll using an advanced HRIS (Dayforce), ensuring accuracy for all employee groups.
Maintain accurate payroll records and validate data from timekeeping, benefits, and compensation systems.
Reconcile payroll inputs such as benefits, deductions, and timesheets, addressing discrepancies in a timely manner.
Process benefit premium payments and conduct regular payroll audits.
Compliance & Reporting
Ensure payroll activities align with provincial and federal tax legislation and employment standards across Alberta, BC, Saskatchewan, and Yukon.
Prepare year-end reports, including T4s and other statutory documentation.
Support internal and external audits by providing necessary payroll records and compliance documentation.
Termination & Employee Lifecycle Support
Prepare Records of Employment (ROEs), calculate final pay, and support employee offboarding in collaboration with HR.
Ensure proper handling of vacation and sick leave balances at time of termination or transition.
Data Analysis & Ad Hoc Reporting
Utilize Excel and Dayforce to extract, analyze, and interpret payroll data.
Generate dashboards and reports to support decision-making for Finance, HR, and business leadership.
Identify trends in payroll data such as overtime usage and benefits costs to support workforce planning.
Employee Support & Communication
Serve as a point of contact for payroll-related inquiries, providing clear and timely support to employees and managers.
Collaborate with HR and Finance teams to troubleshoot issues and improve cross-functional workflows.
System & Process Improvement
Contribute to the ongoing optimization of payroll processes within the HRIS platform.
Recommend and implement process improvements to enhance payroll accuracy, efficiency, and compliance.
Qualifications
To succeed in this role, candidates should demonstrate the following:
Education & Experience:
2-4 years of payroll experience, preferably in a multi-provincial or multi-territory setting.
Previous experience with a comprehensive HRIS platform; experience with Dayforce is a must.
Technical Skills:
Advanced Microsoft Excel skills (e.g., pivot tables, formulas, data validation, and reconciliations).
Solid understanding of payroll regulations, taxation, and employment standards across Western Canada.

Excellent organizational and time management skills.
Resourceful, curious, and proactive in solving problems and improving processes.
Strong interpersonal communication skills, with the ability to explain complex payroll matters clearly.
