Job Description

This job is an in person position located in Maxville ON.

SUMMARY:



The Payroll Coordinator ensures that all payroll related duties and functions are carried out in a confidential, efficient, accurate and timely manner in accordance with Maxville Manor's policies and procedures

Reports to: Chief Executive Officer

QUALIFICATIONS:



College level business accounting courses or equivalent

Previous related experience in health care is an asset

Excellent written and oral communication skills

Excellent and proven organizational, time management, problem solving and attention to detail

Proven computer experience with payroll programs and Microsoft Office

RESPONSIBILITIES AND DUTIES:



Policy

Complies with the code of ethics and standards of conduct as set out in the Maxville Manor Employee Handbook

Upholds the Organization's Mission, Vision and Values

Complies with all provincial regulations and established department policies and procedures

QUALITY IMPROVMENT:



Supports the continuous quality improvement of the department by providing constructive ideas and solutions to identified problems and challenges

HEALTH AND SAFETY:



Complies with health and safety legislations and departmental safe job procedures

Participates in fire and disaster procedures

TRAINING:



Completes all annual training requirements

JOB SPECIFIC RESPONSIBILITIES:



Ensures bi-weekly payroll, payroll variance reports are properly inputted and submitted

Investigates and resolves payroll issues with management and/or employees

Ensures all data files are complete for transmission to ADP

Prepares reconciliations for payroll accounts - WSIB and EHT

Prepares and submits payroll deductions and remittances on a timely basis and ensures records are up to date

Coordinates the implementation of switching to the new payroll provider (in progress)

Prepares ROEs ensuring accuracy

Completes annual and semi-annual mapping report

Prepares annual staffing report for Ministry

Submits RRSP contributions on a bi-weekly basis

Ensures WSIB Form 7s are filled out accurately and submitted within 72 hours of incident

Ensures semi-annual union reports are completed with accuracy and in a timely manner (uniform allowance, benefits, seniority and sick hours)

Orders and organize service awards based on service years

Completes quarterly payroll hours for SOS department

Prepares bi-weekly payroll reports - payroll recap

Familiar with programs such as ADP or GoEasy

Calculates and submit union invoice on quarterly basis

Prepares monthly invoices (garnishments, WSIB, Pension, union group insurance and union dues)

Calculates vacation entitlement days for union members

Checks accuracy of T4s - CPP, EI, Sin numbers, addresses

Prepares for annual audit

Answers phones

Prepares monthly bank reconciliations

Coordinates employee benefits and administration as necessary

Monitors benefit eligibility, and coordinates provision of benefit enrolment packages to employees; ensures accuracy of completed forms and submits to benefits provider in timely manner

Coordinates submission of benefit changes and collection of payment arrears as necessary

Completes other duties as required
