We are seeking an experienced and meticulous Payroll and Benefits Specialist to join Francl Architecture's administrative team.
The Payroll & Benefits Supervisor is responsible for the accurate and efficient administration of payroll and benefits programs across the firm. This role ensures full compliance with employment legislation ensuring accurate, timely, and compliant payroll processing and benefits administration for all employees. This position acts as the primary liaison between HR, Finance, and external providers to maintain smooth payroll operations, support total rewards programs, and uphold data integrity within the HRIS system.

Responsibilities and Expectations
Payroll Oversight
Oversees and processes semi-monthly payroll for all salaried and hourly employees, ensuring accuracy, timeliness, and compliance with provincial and federal legislation.
Reviews and validates payroll data including new hires, terminations, pay changes, and leaves.
Ensures employee time entries, vacation, and sick accruals are accurately recorded within the HRIS (UKG Ready).
Manages Records of Employment (ROEs), statutory deductions, and other employee-related payroll transactions.
Maintains payroll procedures and ensures compliance with all CRA and Employment Standards requirements.
Serves as the primary point of contact for employee payroll inquiries, providing clear and timely communication.
Benefits and Compliance
Support HR with administration for all aspects of the firm's group benefits program including extended health, dental, life, AD&D, LTD, and EAP.
Processes new enrollments, changes, and terminations, and ensures employee information is kept current with providers.
Responds to employee questions regarding benefits coverage, eligibility, and claims processes with clarity and empathy.
Supports annual renewals, open enrollment periods, and benefits education initiatives.
Tracks leave of absence and coordinates benefits continuation and premiums during unpaid periods.
Data Integrity and Compliance
Ensures employee information within the HRIS is accurate, secure, and up to date.
Monitors payroll and benefits records for consistency, accuracy, and compliance.
Keeps current with legislative changes affecting payroll, benefits, and employment standards, updating processes accordingly.
Prepares reports as required for HR metrics, audits, and year-end activities (e.g., T4s, WCB, benefits renewals).
Supports confidentiality and ethical standards across all HR operations.
Process Improvement and Support
Identifies opportunities to improve accuracy, efficiency, and employee experience within payroll and benefits processes.
Develops and maintains clear documentation and standard operating procedures.
Partners with HR leadership on initiatives related to total rewards, HR policy, and system enhancements.
Provides mentorship and guidance to HR team members involved in payroll or benefits tasks.
Qualifications / Assets
Post-secondary diploma or degree in Human Resources, Business Administration, or related field.
Minimum 5+ years of progressive experience in payroll and benefits administration, ideally within a professional services or design environment.
Payroll Compliance Practitioner (PCP) or Certified Payroll Manager (CPM) designation preferred.
Hands-on experience with an HRIS platform (UKG Ready)
Experience supporting full-cycle payroll and benefits processes within a people-focused organization.
Understands project accounting.
Strong understanding of Canadian payroll legislation, taxation, and employment standards.
Solid knowledge of HR administration and benefits programs.
Familiarity with HRIS systems and data accuracy best practices.
Excellent organizational and time management skills with the ability to manage multiple priorities and meet deadlines.
Strong interpersonal and communication skills; able to convey information with tact and professionalism.
High level of proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Demonstrated commitment to confidentiality, accuracy, and process improvement.
Exceptional attention to detail and accuracy.
Ability to work both independently and collaboratively within a team environment.
Strong problem-solving, analytical, and conflict-resolution abilities.
