We are recruiting for Part-time Receptionist!
Position Overview
Reporting to the Hospitality Coordinator, we are looking for two part time evenings and weekends Receptionists. The hours of work would be Monday to Friday 4:00pm to 9:00pm, Saturday and Sundays from 4:00pm to 9:00pm as required. The Front Desk Receptionist works in a fast paced environment and candidate must be able to perform multiple tasks simultaneously while always maintaining a professional and friendly demeanor. Primary role is monitoring the building access and security, responding to residents and visitors, overseeing of front desk activities within Trico LivingWell, supporting and responding to the Administration department in the administrative tasks.
All Front Desk staff should always be aware of the following:
FD is key to securing TLW, protecting the residents, and creating a safe and welcoming culture for everyone coming into TLW.
FD must treat all residents and visitors with respect and courtesy at all times.
FD should strive to be professional at all times. TLW staff is encouraged to talk to their supervisor about any situations where they need guidance.
FD staffs are encouraged to process and debrief with their supervisor after dealing with any difficult situations.
FD should be familiar with the Resident Services Agreement and the general policies and procedures.
Responsibilities:
Supervising front entrance access - sign-in/out of residents, visitors, and contractors.
Provides visible and attentive security presence on the main floor at the Front Desk;
Answers incoming calls and caller's inquiries and re-direct calls as appropriate.
Office duties such as filing, census, prepare invoices, maintain adequate inventory of office supplies, placing orders to different suppliers, etc.;
Types letters and memorandums as well as operates a variety of office equipment.
Responding to Emergency Call Bell requests and any other emergency requests.
Responding to requests from residents and visitors.
Gives clear and concise information during handover at the end of the shift, highlighting any events that have occurred; Write up incident reports as needed;
Keeps all residents information confidential;
Other duties and tasks as required.
Requirements:
A combination of education and experience providing the required skills and knowledge for successful performance would qualify. Typical qualifications would be equivalent to:
Front desk/administrative experience in security and customer service preferred;
High school diploma or GED, or an acceptable combination of education & experience;
Experience with crisis intervention and problem solving considered an asset;
Good organizational, time management, judgement and decision making skills;
Able to write simple correspondence, including memos, letters, etc.
Knowledge of supplies, equipment, and/or services ordering, and inventory control.
Proficiency of Microsoft Outlook, Word, Excel, and PowerPoint.
Superior telephone manners and strong interpersonal skills.
Experience or willing to gain experience using CCTV security systems;
Strong written and verbal skills to communicate with all levels of the organization and its executive team.
First aid certificate is an asset and will be required for the job position.
A current (within 6 months) Police Clearance and Vulnerable Sector Screening;
