Location: Remote (occasional in-person meetings at Head Office-3845 Bathurst Street, North York)
Schedule: Monday to Friday, 8:30 AM - 11:30 AM (3 hours/day)

About the Opportunity
V!VA Retirement Communities is seeking a detail-oriented and proactive Operations Administrative Assistant to support our Home Office Operations team. This part-time role is ideal for a collaborative, organized, and people-focused professional with a passion for seniors housing and operational excellence. While primarily remote, occasional visits to our Head Office may be required.
What You'll Do
As a key member of our purpose-driven team, you will:

  • Provide administrative support to the Vice President, Community Experience, and Operations leaders
  • Manage calendars, coordinate meetings, and assist with travel arrangements
  • Prepare reports, menus, contact lists, and other operational documents
  • Organize and maintain digital files and network drives
  • Assist with planning meetings, booking venues, and coordinating logistics
  • Create and distribute agendas and meeting minutes
  • Support cross-functional projects and initiatives
What You'll Bring
  • Minimum 3 years of administrative or office experience
  • Post-secondary education in Business, Communications, or a related field (preferred)
  • Proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint)
  • Experience with document management systems (e.g., SharePoint, Teams)
  • Strong written and verbal communication skills
  • Excellent time management and organizational abilities
  • Ability to work independently and manage multiple priorities
  • Valid driver's license and access to a vehicle
