Reporting to the Director of Care, the Staffing and Scheduling Coordinator oversees and administers the day-to-day schedule for all unionized and non-unionized employees. The Coordinator will generate and maintain master schedules for all departments, produce active schedules bi-weekly, replace vacant shifts, and support managers in conjunction with HR to manage leave of absence requests and employee attendance. The Coordinator is accountable for timely and accurate time and attendance records to support the payroll process. This position also collaborates with HR and the Business Services Partner on both internal and external job vacancies.

KEY RESPONSIBILITIES:

  • Creates master schedules for all departments (approximately 250 employees) that always assures staffing per operational requirements.
  • Adjusts schedule as necessary to compensate for call-ins or other unforeseen circumstances to ensure system reflects daily staffing and payroll accuracy
  • Entering new hires into the scheduling system/Staff Scheduled Care, UltiPro
  • Handles inquiries and questions regarding various scheduling needs to ensure quick, equitable and courteous resolution
  • Recommends new approaches or changes to current practice to improve efficiency in the staffing of departments
  • Produce statistics for reporting purposes, collecting data and providing analysis of staffing schedules and issues.
  • Fosters positive relationships with service provider(s) (e.g., staffing agencies)
  • Collaborates with all departments; advises and communicates with department managers and HR on all staffing, scheduling needs and/or shortages identified during assessment of schedules
  • Assists with the interpretation and implementation of provisions of the Collective Agreement and other employment legislation as they relate to scheduling
  • Functions within the confines of relevant legislation, codes, acts, policies, procedures, standards and Collective Agreements (ONA & SEIU Healthcare)
Perform other duties as required.

WORKING CONDITIONS:
  • This is an in person permanent part-time position based upon 15 hours per week
  • Schedule may vary according to requirements of responsibilities- some weekend and evening work may be required
  • Flexibility to be available outside of regular work hours to provide support on urgent matters or to meet tight deadlines

QUALIFICATIONS AND EDUCATION REQUIREMENTS:
  • College education in Administration or Human Resources an asset
  • Alternative combinations of education and experience may be considered.
EXPERIENCE AND KNOWLEDGE:
  • Two to Three years office experience in staffing and scheduling with preference given to individuals with experience in a long-term care setting. Understanding of scheduling 24/7 in a unionized environment (ONA/SEIU Healthcare)
  • Experience with Time and Attendance Management software required. Direct experience with Staff Schedule Care an asset
SKILLS AND CAPABILITIES:
  • Proficiency in using computers. Demonstrated proficiency in Microsoft Office including excel required
  • Must exhibit a positive, solution-oriented and customer-focused attitude
  • Demonstrate a high level of integrity, sound judgment and ability to maintain confidentiality
  • Initiative, critical thinking, and problem-solving skills along with the ability to anticipate needs and provide solutions/options, particularly when confronted with ambiguity and a high degree of change
  • Exceptional written, verbal communication, and interpersonal skills with capability and desire to work within a collaborative team in a multi-faceted environment
  • Exceptional organization and time management skills. Ability to manage multiple priorities and meet deadlines
  • Ability to work flexible hours as needed
  • Ability to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check with vulnerable sector screening
  • Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
