ROLE OVERVIEW:
This part time, shared position of Front End Receptionist/Office Assistant, consists of two (2) employees that split the work week as detailed below.
Breakdown for weekly hours is as follows:
This is a two (2) week rotation
Week One
Employee will work Thursday to Friday (7 hours per day/14 hours in week one)
Week two:
Employee will work Wednesday, Thursday and Friday (7 hours per day/21 hours in week two)
Total Bi-weekly hours:
35 hours worked between the two week rotation each pay period
This shared position will require coverage for each other when their counterpart takes vacation time or calls in sick. Therefore, some weeks will require more hours than the regular work schedule.
The successful person will assist in the day to day activities involved to run the front office area.
KEY QUALIFICATIONS/REQUIREMENTS:
As the Receptionist you must;
Possess a friendly, positive attitude as the first point of contact with IMS whether by phone or in person
Have a professional, personal presentation
Have excellent phone etiquette skills that present as calm and kind
Have strong organizational skills, be detailed and be able to handle multiple tasks with ease
Be proactive outside of the normal reception duties and take initiative to assist where needed or find things to do when slow
Possess adequate computer skills n Word, Excel, ordering on website
Confidence dealing with supplier representatives for office supplies
Have strong communication skills in English, both verbal and written
Experience is considered an asset but we are willing to train the right individual who has a desire to learn
KEY RESPONSIBILITIES:
The successful person(s) will be able to handle the key responsibilities for the role;
Greet customers and vendors upon arrival to facility
Answer and screen incoming phone calls in a professional manner
Handle mail distribution, both incoming and outgoing
Manage and order office supplies for standard weekly orders and special requests
Manage reception emails
Arrange office luncheons when needed
Manage and organize supplies room and social club storage area
General cleanliness of reception area, small kitchen area in reception, training room, boardroom, recycling, coffee/water station
Assist Sr. Office and HR Manager as needed with distribution of various company documents and signage
Participate on the Joint Worksite Health and Safety Committee as Secretary
Other duties as assigned
COMPENSATION:
Hours of Work
: 8:30am - 4:00pm (every Thursday and Friday, alternating Wednesdays).
Wage:
This position is an hourly paid position.
Vacation
: 4% of accrued pay based off of total yearly hours worked
Christmas Shutdown:
Additional days of paid holiday time off during Christmas shutdown week that are not covered by Statutory Holidays
NOTE:
New employees must be past their probationary period to be eligible
Birthday:
After the first year of employment, employees are entitled to take a day off in their birthday month with pay
