Position Summary:

The Administrative Assistant of the Academic Programs will assist the Chair of the Department, the Academic Operations Manager, Program Coordinators and faculty in the School of Social and Community Services and in the School of Deaf and Deafblind Studies, in the following main academic activities: organize, attend and take minutes during PAC meetings twice a year; cover front desk and provide in person and online student advising in coordination with the admin team; input academic programs course outlines in the COMMS for Fall, Winter and Spring /Summer Semester; work with the Chair, Program Coordinators, Marketing and RO on review and update of PMT.

Key responsibilities:

  • Provides in-person admin and logistical support of Schools events and functions, Schools Meetings, Program Coordinators Meetings, Program Advisory Committees (PAC), and assigned committees/task groups. Arranges draft agendas, prepares related background material, process Chartwell orders when required, invoices, honorariums, takes minutes and files and archives meeting documents in the respective electronic filing system.
  • Provides student advising services in person during the academic year and pick periods such us grade amendments, course adds/drops, substitution, block registrations, holds, academic standing and resolves CAPP report issues, as needed.
  • Monitors Community Services & Deaf and Deafblind Studies email.
  • Provides admin support to the Chair and faculty on the update, maintenance and inventory of course outlines in COMMS throughout the academic year.
  • Initiates the PMT process based on the PMT office timelines and provides support to the Chair and Program Coordinators in the review process of the web content update.
  • Supports Program Coordinators during pick periods such us program orientation, welcome-back, start-up, end-of-term, etc.
  • Administers purchasing process of office supplies, instructional supplies, and equipment (use of web requisition where applicable). Administers office supplies inventory in the office.
  • Identifies, refers, and communicates IT related issues (photocopiers, computer issues in the office, etc.) and building facilities issues to other appropriate departments for resolution.
  • Maintains up to date information on community Brightspace and updates Faculty manual on a yearly basis.
  • Maintains Affiliation Agreements process together with the School and the Office of the Dean.
  • Other related duties as assigned.
Educational and Experience Requirements:
  • Three-year diploma from a recognized post-secondary institution in Office Administration or Business administration or equivalent.
  • Minimum two (2) years of office administration and customer service experience is required, along with the ability to work in a busy, active work environment.
  • Proficiency with Microsoft Office suite, Teams, Zoom, and other online meeting platforms.
Skills and Attributes:
  • Highly efficient in managing online and onsite meetings, taking meeting notes and other meeting logistics in a fast-working environment.
  • Solid attention to detail, excellent written and verbal communication skills and customer service skills are required.
  • Displays good judgment and has excellent problem-solving skills.
  • Self-motivated and able to work with minimal supervision; excellent time-management skills.
  • Demonstrated collaboration, interpersonal, and teamwork skills at a professional level.
  • Demonstrated commitment to uphold the College\'s priorities on diversity and equity.
Interview process may consist of a practical skills component.
