Overnight Shelter Supervisor - Part-Time

overnights

Primary coverage from

01:00 (1am) to 05:00 (5am) on weekdays

, plus one

on-call/floor weekend rotation

every four weeks

Job Summary:

Directly reporting to the Homelessness Services Director (HSD), the Shelter Supervisors (SS) will provide day-to-day oversight, leadership and supervision to the shelter and community services employees who provide individualized support to people staying in the emergency shelter. Supervisors must also ensure employees are providing support to participants, following reporting requirements and establishing clear and effective boundaries.

Responsibilities:



Leadership



Lead, supervise, and provide support for all direct reports. Ensure team meetings are being conducted following the Meeting Plan. Conduct regularly scheduled (weekly/bi-weekly) 1:1's with direct reports. Ensure all direct reports are up to date with all training requirements, understand their responsibilities and know the policies and procedures. Developing and ensuring all training is completed and up to date. Ensure that all direct reports are maintaining professionalism and completing daily functions as required by the organization. Ensure volunteers and students working in the shelter and community services programs are maintaining professionalism, in collaboration with the Volunteer Supervisor. Demonstrate safe work practices and follow all health and safety measures.

Supervision



Ensure that onboarding/orientation/training of new direct reports is completed and tracked for each new team member, in conjunction with the HSD. Complete hiring, coaching and professional development for direct reports. Conduct probationary and annual performance evaluations for direct reports. Create and manage staff schedules and relief lists, using the Payworks program. Participate in on-call responsibilities as required. Implement the housing-focused shelter standards and ensure all staff are trained on this and using the diversion program. Follow and ensure that the plan for all donations is followed in the protocols set forth by the organization. Evaluate programs from a housing-focused perspective. Respond according to program protocols to emergencies or crises

Participant Programming



Ensure direct reports complete a full two-day admission and intake process for each new adult participant entering the program. Audit adult participant files weekly and ensure all intakes started are completed. Ensure that Housing Navigators are meeting with all adult participants one-on-one to develop goals that will work towards permanent housing. By using the goal-setting progress notes and reviewing case files, ensure direct reports are providing all participants with the support they need. Ensure that direct reports are completing success plans. Ensure direct reports are equipped to carry out participant discharges as required.

Safety and Maintenance



Always wear and ensure your team is wearing their panic buttons and safety gear; sign in and out on each shift. Ensure direct reports are doing frequent circle checks of the inside and outside of the building; this is to be done in pairs. Ensure the cameras are all in working order and continue to use them throughout the shift to monitor for any issues. Address, record, and report any safety concerns promptly. Fix what is in your power immediately. Contact the HSD, Managing Director and Human Resource and Finance Director immediately if a serious occurrence or employee injury occurs. Ensure that direct reports complete a respectful and dignified check of participants' belongings before bedtime to maintain a safe environment. Ensure direct reports clean and sanitize all high-touch surfaces. Ensure direct reports take out garbage, recycling, and green waste as required. Ensure health and safety procedures are implemented and adhered to. Ensure direct reports complete laundry tasks as needed. Ensure direct reports participate in cleaning, janitorial, and basic housekeeping as needed to maintain a clean and safe environment.

Reporting



Provide information for the weekly Monday Message. Using the organizational approved reporting system including HIFIS, ensure all data is collected promptly and precisely. Ensure payroll is completed for direct reports and assist other team members with payroll ensuring that approval is done within the deadline.

Perform other duties as assigned.



Qualifications:



College diploma or University degree in business management, human resources or social work, or equivalent. 2 years experience in shelter and/or housing leadership and supervision. Experience in coaching and developing a diverse team of employees. Experience in developing and managing schedules. Experience with database work and data collection. Computer skills, including Google Drive and HIFIS. High standard of integrity, judgement and confidentiality. Excellent communication, supervisory and community relationship skills. Excellent customer service, problem-solving and decision-making skills. Able to focus on staff needs while developing teamwork, ensuring staff are supporting participants, and making sound decisions. Flexible and adaptable with the ability to work independently and as part of a team. Training in Nonviolent Crisis Intervention and First Aid/CPR are required during employment. Clean criminal record check, including vulnerable sector screening. Reliable transportation. Must be flexible in terms of hours worked.
