Position Overview:

We're looking for a detail-orientated, motivated, and proactive Order & Materials Coordinator to join our growing team. In this role, you'll be the driving force behind our order lifecycle--ensuring accuracy from the moment a customer places an order right through to fulfillment. You'll also take ownership of purchasing materials, managing inventory levels, and coordinating with production to keep everything running smoothly.

Key Responsibilities:
Become a product expert, matching company offered products with customer needs.
Utilize and maintain order management systems (ERP) to ensure smooth day-to-day operations.
Review and verify order details, including product specifications, quantities, and customer information.
Manage customer orders, production tracking, and project workflows within the ERP system.
Create bill of materials and labour plans for made to order items.
Provide outstanding support to customers and internal stakeholders through accurate, timely, and professional communication by email, phone and software systems.
Track and document customer orders, project milestones, and service requests in the system.
Liaison with the accounting group to ensure payment terms are met.
Coordinate purchasing of raw materials (steel and other key inputs) to ensure optimized production and fabrication scheduling.
Monitor raw material stock levels and proactively reorder to maintain optimal inventory.
Source, evaluate, and negotiate with vendors for raw material supply to balance cost, quality, and delivery timelines.
Maintain accurate records of raw material purchases, lead times, and vendor performance.
Build and manage relationships with key vendors and suppliers to strengthen purchasing power and product availability.
Support and complete administrative tasks related to sales, shipping, accounting and finance as needed.
Experience and Skills Required:
Diploma or degree in Business Administration, Operations Management, Engineering Technology, or related field preferred.
3+ years of relevant experience; custom manufacturing experience is an asset.
Strong technical proficiency (MS Office; ERP experience is an asset, particularly experience in CETEC).
Exceptional organizational skills--you thrive on accuracy and structure.
Ability to juggle multiple priorities in a fast-paced, dynamic environment.
