GENERAL DESCRIPTION




The Order Fulfillment Manager is responsible for managing customer order fulfillment end to end, from order entry through shipment and returns. This role ensures accurate and timely processing of orders, effective communication with customers, and seamless coordination with logistics partners to deliver a best-in-class fulfillment experience, while meeting company On-Time-to-Delivery (OTTD) performance standards.



KEY RESPONSIBILITIES



Order Entry:



Process incoming purchase orders by matching them against corresponding sales quotations. Contact customers to resolve discrepancies or missing information prior to order acceptance.


Delivery Plan:

Confirm shipping location and requested delivery date for each item directly with the customer. Work with the internal supply chain team to establish realistic promised delivery dates and communicate them back to the customer. Ensure delivery commitments align with company On-Time-to-Delivery (OTTD) metrics.


Fulfillment Plan:

Determine whether orders will be fulfilled from stock on hand or from upcoming deliveries. Implement item reservations in the system as needed to ensure priority customers are guaranteed stock availability.


Order Fulfillment:

Coordinate with the warehouse and 3PL partners to release material and execute shipments. Enter and maintain item tracking information in the company's electronic records system for accuracy and traceability. Maintain and furnish proof of delivery (POD) documentation to customers for confirmation, compliance, and dispute resolution. Provide customers with timely status updates and tracking information throughout the fulfillment process. Track fulfillment activities against OTTD performance targets and escalate risks to leadership as required.


Returns:

Manage the returns process, ensuring compliance with company policies and maintaining high customer satisfaction.


Data Accuracy:

Maintain accurate customer Ship-to and Bill-to contact information within the order management system.


Collaboration:


Work cross-functionally with Sales, Operations, Customer Support, and Supply Chain to resolve fulfillment issues and continuously improve processes.


MINIMUM REQUIREMENTS

Bachelor's degree in Supply Chain Management, Logistics, Business Administration, or a related field, or an equivalent combination of education and experience. 3+ years of experience in order fulfillment, supply chain, or related operations role. Proficiency with Microsoft Dynamics 365 Business Central (or equivalent ERP systems). Familiarity with export protocols and related documentation requirements. Strong organizational skills and attention to detail. Clear and professional verbal and written communication skills. Ability to work collaboratively with internal teams, customers, and external logistics partners.


PREFERRED QUALIFICATIONS

APICS certifications such as: CSCP (Certified Supply Chain Professional) CPIM (Certified in Production and Inventory Management) CLTD (Certified in Logistics, Transportation, and Distribution) Lean Six Sigma Green Belt (or higher) certification. Experience working with third-party logistics (3PL) systems and freight providers. Familiarity with international shipping, Incoterms, and customs/export compliance. Demonstrated success in meeting or exceeding OTTD and order accuracy KPIs.
