This role will largely be dedicated to the Confidential Settlement.
Castlemain's role in implementing the Confidential Settlement Claimant Support Program is to provide navigational supports to Class Members in the Claims Process. Our guiding objectives are to ensure that every Claimant has the opportunity to access, understand, and respond to the Settlement Agreement notice, as well as receive the necessary assistance for completing and submitting their claims. Furthermore, we are dedicated to ensuring that Claimants are well-informed about the wellness support and resources available to them.
About the Role
The Operations & Travel Specialist is responsible for providing expert travel planning and booking services for our travelling team members across Castlemain's Settlement programs, ensuring that travel arrangements meet program service delivery standards and budgetary requirements. This role requires a strong background in travel services and operations, excellent customer service skills, keen attention to detail, and a solutions-oriented mindset.
Responsibilities will include:
Triaging incoming travel booking requests to determine urgency and assign appropriate priority level. Continuously monitor and update priorities based on evolving circumstances.
Planning and managing travel itineraries including flights, accommodations, transportation, and other logistics for employees travelling throughout Canada, including to rural and remote areas.
Developing and maintaining relationships with travel vendors, including airlines, hotels, and car rental services to secure the best rates and services.
Ensuring that all travel arrangements comply with the Program's travel policies and budget guidelines.
Working directly with the Finance team to ensure travel expenses are appropriately categorized and to support the management and reconciliation of company credit card transactions and other corporate travel-related accounts.
Providing both pre-travel and post-travel support such as expense report development, submission and reconciliation.
Developing and actioning recommendations to solve unique travel challenges.
Addressing and resolving any travel-related issues or emergencies in a timely and efficient manner.
Identifying opportunities for efficiencies in current travel request workflows, developing solutions to optimize for scalability.
Supporting other operations and logistics initiatives across the Program and Castlemain.
We're looking for someone with:
Minimum of 2-4 years of experience in travel planning, logistics or operations.
Extensive knowledge of travel destinations, booking systems, and travel regulations.
Strong interpersonal skills with a focus on delivering exceptional client service.
Excellent organizational skills, with the ability to balance multiple priorities simultaneously
Strong attention to detail to ensure all travel details are managed and relevant internal tracking systems have been updated
Ability to problem solve quickly and efficiently to remediate urgent issues
Proficiency in French preferred.
Compensation
Base Salary Range: $60,000 - $70,000
