SCOPE OF POSITION
We are seeking a highly organized, proactive, and versatile Operations Support Manager to be a critical link between our corporate functions, external clients, and field operations. This role requires a blend of exceptional administrative skills, operational oversight for remote technology locations, and support for business development and team-wide initiatives. The ideal candidate thrives in a fast-paced environment and possesses strong communication and problem-solving abilities.
Key Responsibilities
The Operations Support Manager will be responsible for four primary areas:
1. General Office Administration and Customer Support
Manage the day-to-day general office administrative tasks to ensure smooth corporate functioning.
Serve as the primary point of contact for external and internal inquiries.
Provide high-quality customer support and issue resolution, primarily handled efficiently via email and phone.
Maintain organized digital and physical filing systems for administrative and operational records.
Oversee the parking violation dispute process for Canadian operations
Oversee the operations and performance of multiple remote parking technology-only locations.
Manage ancillary shuttle operations associated with remote sites, ensuring service reliability and compliance.
Perform Account Management duties for remote sites, serving as the main liaison for site owners or management.
Handle monthly billing, invoicing, and revenue reconciliation for assigned locations.
Proactively monitor site performance, resolve operational issues, and coordinate technical support when needed.
3. Business Development Support
Actively support the Business Development team's growth initiatives.
Identify and monitor public tender opportunities relevant to our services.
Lead the compilation, formatting, and submission of professional and compliant responses to public tenders (RFPs/RFQs).
Assist in the planning, execution, and tracking of business-to-business outreach campaigns and initiatives.
Prepare presentations, proposals, and marketing collateral as required.
4. Canadian Operations Team Support and Program Rollout
Provide dedicated operational support to the Canadian Operations Team.
Act as a key liaison between the Canadian team and various corporate departments (e.g., Finance, HR, IT) to ensure resource alignment and compliance.
Coordinate the rollout and implementation of new programs and initiatives across the Canadian operational landscape, including process documentation and training support.
Assist in budget tracking, performance reporting, and data analysis for operational insights.
Qualifications and Skills
Proven experience in an Operations Support, Office Management, or Account Management role, preferably within the parking, transportation or technology sectors.
Bachelor's degree in a related field preferred or equivalent combination of education and experience
Exceptional written and verbal communication skills in English (Fluency in French is a strong asset)
Demonstrated ability to manage multiple priorities and remote locations simultaneously
A self-starter with a proactive approach to problem-solving and issue resolution
High Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with CRM or project management software
Strong analytical skills with experience in basic billing, invoicing, and data reconciliation
License Requirement:
Must possess a valid driver's license with a current address and acceptable driving record.
