We are seeking a proactive and detail-oriented Sales and Operations Support professional to join our dynamic team. This pivotal role is designed to provide seamless operations, clerical, and customer service support throughout various areas of our business. You will become an integral part of our team, daily interacting with all Managers, fellow employees, and our valued clients.
Key Responsibilities
As an Operations Support & Administration professional, you will undertake the following primary responsibilities:
1. Operations
- Schedule Coordination: Manage daily scheduling of installations and callbacks, ensuring accurate updates to CRM.
- Client Communication: Proactively reach out to clients via email to confirm installation dates and assess customer readiness one week in advance. Follow up with phone calls for any unanswered emails within 48 hours of the installation date, updating the CRM accordingly.
- Team Communication: Share daily schedules with the Installation Team by 3 p.m. to ensure everyone is aligned and prepared.
- Permit Management: Receive and process approved permits as required,
- Inspection Oversight: Collaborate with Management to address any failed inspections promptly.
- Inventory Management: Work closely with the Warehouse Lead to confirm product availability for installations and coordinate the pick-up of custom-made trims from manufacturers.
- Rough-in Coordination: Manage and schedule rough-in and inspections as necessary.
2. Clerical/Administrative Support
- Time Sheet Management: Issue time sheets to all hourly employees bi-weekly and ensure timely.
- Payroll Documentation: Collect and transmit time sheets and other payroll-related documentation to our payroll provider on a bi-weekly basis (Tuesdays).
- Data Entry: Perform data entry for permits and ensure that all related documentation is organized and accessible.
- Quote Management: Ensure that all Quote Notes are attached to their respective folders on a daily basis and issue framing specifications to clients when required.
3. -Customer Service
- Inbound Call Management: Answer incoming calls graciously, managing inquiries and directing them to the appropriate parties as necessary.
- In-Person Assistance: Handle in-person requests and inquiries in the absence of the sales team.
-Complaint Resolution: Escalate customer complaints to management and Sales as required, ensuring thorough follow-through on all customer issues in accordance with management's directives.
- Documentation Distribution: Prepare and send out customer documentation as requested (e.g., strata documents, permits).
- Customer Interaction: Conduct customer follow-ups and maintain communication to guarantee satisfaction and support.
Qualifications
- Demonstrated experience in a sales support, operations, or administrative role preferred.
- Exceptional organizational skills and attention to detail.
- Strong interpersonal and communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Ability to thrive in a fast-paced, ever-changing environment.
- Proven ability to manage multiple priorities effectively.
