IMG Operations plays a pivotal role in maintaining and enhancing operational Information Management (IM) and Information Technology (IT) systems and processes to meet the evolving needs of CAMH stakeholders. This role supports executive decision-making, strategic planning, and continuous improvement initiatives across the IMG portfolio.
The primary role of an Operations Specialist is to support the Manager, IMG Operations in delivering high-quality operational and administrative services across the Information Management Group. This role coordinates cross-functional initiatives, and ensures the smooth execution of operational processes that support IMG's strategic and service delivery goals. The Operations Specialist also plays a key role in tracking performance, supporting governance and communication, and contributing to departmental planning and reporting.
The candidate must be a self-starter with the ability to work both independently and as part of an interdisciplinary team. The successful candidate will have excellent capacity for self-directed learning/working, and require minimal supervision. You will support and contribute to a healthy workplace that embraces diversity, encourages teamwork and complies with all applicable regulatory and legislative requirements.

  • Assist with leadership committee operations, including agenda planning and tracking of follow-up actions.
  • Prepare materials for the Board of Trustees and relevant subcommittees, ensuring accuracy and alignment with strategic priorities.
  • Support the Local Delivery Groups (LDG) model through documentation and coordination.
  • Support organizational/portfolio strategies and initiatives to enhance operational effectiveness and portfolio efficiency.
  • Operational activities include supporting manager and/or IMG departments with development of work plans, tracking and resource planning, and supporting strategic activities.
  • Track and report on Service Level Agreements (SLAs) and departmental budgets.
  • Preparation of key reports on portfolio performance, including data gathering, formatting, and analysis in collaboration with manager.
  • Conduct reporting and analysis on operational performance and trends.
  • Coordinate IMG's reporting obligations to Ontario Health and other internal or external stakeholders.
  • Support the implementation and maintenance of business continuity plans.
  • Contribute to strengthening relationships with internal stakeholders, building and managing new relationships.
  • Conduct root cause analyses and support the review and refinement of operational procedures and workflows.
  • Identify and implement opportunities for continuous improvement in IMG Operations.
  • Engage with stakeholders to solicit feedback and input on improvement initiatives.
  • Apply project management skills and utilize CAMH project management methodology, data, evidence-based practice, change management strategies and improvement science to ensure achievement of project objectives and timelines.
  • Utilize data from various sources and summarize succinctly for executive level decision-making.
  • Assist in developing and delivering presentations for various internal and external stakeholders, including executive audiences.
  • Activities: Develop and execute internal and external communication plans - independently manage day-to-day communications, while collaborating with the manager on larger or strategic communication initiatives to support IMG goals and staff engagement.
  • Coordinate and support IMG events, including logistics, communications, and post-event evaluation.
  • Guide others to prepare for change, support and adopt actions required to achieve successful outcomes.
  • Facilitation of large group meetings and processes to ensure objectives are achieved.
  • Work collaboratively with stakeholders to design, implement and evaluate the impact of key organizational/portfolio priorities.
  • Influence to gain acceptance of ideas and proposals through persuasion and interpersonal skills.
  • Establish and maintain collaborative partnerships with individuals across various organizational levels.
  • Support and participate in operational improvement activities departmentally and organization-wide.

  • Performs cross-functional and other duties as assigned and requested.
  • A bachelor's degree in a relevant discipline (such as healthcare administration, health informatics, business administration, or related field) is equivalent to a combination of education, training, and experience, required.
  • 3 years of experience in healthcare, with knowledge of hospital operations, required.
  • Project management certification is an asset.
  • Knowledge of project management methodology and best practices and/or program management.
  • Apply project management skills and utilize CAMH project management methodology, data, evidence-based practice, change management strategies and improvement science to ensure achievement of project objectives and timelines.
  • Establish and maintain collaborative partnerships with individuals across various organizational levels.
  • Strong knowledge of hospital digital department operations, ensuring smooth day-to-day functioning of digital health departments.
  • Experience overseeing governance and quality assurance for digital operations.
  • Demonstrated leadership skills, including experience in leading projects, events, and/or quality improvement initiatives, collaborating with multidisciplinary teams, and implementing change.
  • Strong communication skills to effectively engage with team members and leadership.
  • Proven ability to collaborate with multidisciplinary teams, senior leaders, clinical teams, IT, and external partners to achieve organizational goals.
  • Familiarity with optimizing clinical and/or administrative processes through digital solutions, including knowledge of change management and supporting staff through digital transitions.
  • Strong analytical skills to assess data, conduct root cause analyses, and implement evidence-based interventions.
  • Experience managing budgets for digital projects.
