JOB SUMMARY:

The Operations Specialist is a full-time, warehouse-based position. Reporting to the Manager, Operations Canada, the Operations Specialist is responsible for assisting with warehouse procedures and quality assurance of the Optune system and for supporting special access and clinical trial oncology patients utilizing the NovoTTF device. Other responsibilities include QC related activities as well as receiving and processing inbound/outbound of materials to support patients and Device Support Specialists (DSS) in the field. Preparation of shipments includes kit preparation and the completion of appropriate documentation.

This is a non-exempt, full time position, based on-site in Ottawa, Ontario, Canada. The hours for this role are Monday - Friday, 8:30am - 4:30pm.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Ensure activities comply with the applicable Novocure Quality System requirements
  • Acceptance activities include quality inspection: visual, mechanical and electrical testing
  • Identify non-conforming materials and initiate NCMR's
  • Complete and organize documentation relevant to inspection. Ensure accuracy and conformance to Good Documentation Practices (GDPs)
  • Document and file operations center route cards
  • Track and examine shipments to/from the Global Operations Center (GOC)
  • Communicate discrepancies related to shipments to GOC team and relevant shipping partners
  • Complete the appropriate shipping documentation required for releasing shipments
  • Coding for transport billing (D2L) and maintaining a close relationship with our main carriers (UPS, FedEx)
  • Complete administrative tasks, maintain records and ensure conformance to standards
  • Maintain a suitable stock level of material in the warehouse
  • Handling of Field returns incl. receiving, disposal and decontamination
  • Comply with relevant health and safety regulations at all times
  • Transfer materials to appropriate area(s)
  • Monitor equipment validity (ex: INE, IBH). Proactively verify equipment requiring regular maintenance
  • Assist in performing inventory counts and audits against materials listed in SAP at recommended frequency
  • Ship orders to patients and DSS team and process returns to Global Operations Center
  • Package, ship and receive DG shipments according to latest requirements as directed by transportation company (CATSA, IATA)
  • Warehouse maintenance and cleanliness
  • Report to Manager,Operations Canada and collaborate with cross functional team members
QUALIFICATIONS/KNOWLEDGE:
  • College or Bachelor's Degree
  • 2-4 years Warehouse experience
  • Good understanding of logistics and distribution
  • Experience with SAP (ECC)
  • Proficiency in computer operations including but not limited to Microsoft Office, manipulating computer files, following testing and troubleshooting procedures
  • Be able to communicate clearly and effectively
  • Must be detail oriented and make sound decisions
  • Ability to multi-task, perform efficiently and independently
  • QC/QA experience preferred
  • Experience with Quality Procedures, Standard Operating Procedures (SOP) and Work Instructions preferred
