Position Summary

Temporary Full-Time Appendix D Support Staff, replacement contract position (January 5, 2025, to August 17, 2026)
The Operations Officer supports the delivery of services that promote student success and retention across Conestoga campuses. This role collaborates with Accessible Learning Services, Learning Services, and Financial Services to ensure consistent data management, efficient financial operations, and responsive client service.
Successful candidates will be required to conduct work on-site, Monday to Friday, 8:30 a.m. to 4:30 p.m., at the Doon campus, located at 299 Doon Valley Dr. in Kitchener.
Responsibilities

Office administration
Maintain and update the accommodation management platform procedures in collaboration with the area manager
Coordinate onboarding, training and resource access and set-up for new staff
Maintain orientation materials and attend meetings, preparing documentation and minutes
Liaise with Student Success Services and other departments to clarify service delivery policies
Financial administration
Monitor and reconcile departmental credit card expenses
Identify equipment and resource needs; research suppliers and prepare purchase requisitions
Complete order requisitions for business cards, name tags, printing, special events, etc.
Complete purchase orders, including purchasing services, and contacting vendors
Balance, complete and remit petty cash vouchers and employee expense reports
Service administration and communication
Monitor the department email, providing referrals and frontline support
Upload resources to online repositories
Assist with logistics and materials for outreach events and marketing initiatives such as Open Houses, special events, celebrations and service workshops
Bursary applications
Coordinate the Bursary for Students with Disabilities (BSWD) process with the Accessibility Advisors and Student Financial Services
Provide bursary and OSAP information to students, staff and parents
Verify student eligibility and prepare bursary allocation calculations and applications
Track and reconcile bursary accounts, ensuring compliance with documentation and return of overfunded resources
Communicate bursary terms and responsibilities to students
Review and verify equipment quotes and supporting documentation for completeness
Maintain records and upload documentation to the accommodation management platform
Deposit cheques and submit receipts to payroll
Meet with students and parents to discuss and resolve bursary issues
Psychoeducational assessments
Ensure students understand the purpose of the assessment and their responsibilities
Coordinate with psychologists, students, and staff to facilitate timely assessments
Provide confidential records for psychologists and payment information to students
Develop and maintain spreadsheets to track and monitor assessment waitlist, income, expenses and student assessment progress through to completion
Tracks and sends invoices to accounting for reimbursement
Resource coordination
Support the Resource Coordinator during peak periods to ensure timely service delivery for students
Assist in planning transition programs, information sessions and outreach activities
Provide front desk coverage in the absence of the Customer Care Specialist.
Qualifications
------------------
Three-year diploma or degree in business administration, psychology, social services, social sciences or a related field is required
Minimum two years of experience in operations planning, and program and service support is required; experience in a post-secondary environment is preferred
Strong interpersonal skills and ability to engage effectively with students and staff
Excellent organizational and time management skills with attention to detail
Excellent group facilitation skills and team collaboration
Demonstrated problem-solving and conflict resolution skills
Experience in financial tracking and generating reports
Proficiency in Microsoft Office applications, including Excel, Word, OneNote, PowerPoint and SharePoint
Familiarity with databases and Client Relationship Management (CRM) systems
Ability to learn and adapt to emerging technologies
