This includes coordinating and processing sales orders from receipt (generated by sales) through consolidation, processing, and coordination with warehouse, production, internal logistics, and third-party logistics (3PL) providers to ensure timely delivery to customers, along with invoicing and daily management reporting. The position is based in Woodbridge, ON, Canada. This role offers an opportunity to manage operations involving order processing, logistics, and team coordination with multiple departments (sales, production, warehousing and logistics/third-party logistics partners), ensuring efficient delivery of high-quality South Asian products while supervising supporting roles like Operations Administrative Coordinators and collaborating with sales, finance, warehouse & production teams.

Position Overview:
As an Office Operations Manager, you will drive operational efficiency by managing sales order processing, coordinating fulfillment and deliveries, supervising administrative support, optimizing logistics and supply chain processes, and ensuring compliance with food safety standards to support revenue growth and customer satisfaction. This full-time, permanent position involves hands-on leadership, risk mitigation, and collaboration with cross-functional teams, making it ideal for someone eager to excel in a fast-paced food distribution environment.
Role & Responsibilities
Operations Oversight: Manage office operations function to coordinate and process sales orders from the point of receipt of orders generated by sales to consolidating, processing and coordinating with warehouse and production to logistics internal / 3pl to deliver to the customer and invoicing and daily management reporting to receive and process sales orders from the sales team via Spire ERP, Peppri sales order app, WhatsApp, email, phone, and other channels, ensuring seamless flow to production and delivery while reviewing forecasts, generating operational plans, and identifying workplace hazards.
Team Supervision: Lead and develop the operations team, including supervising Operations Administrative Coordinators on order entry, accurate, error-free and timely and efficient invoicing, administrative tasks, merchandising and maintenance of retail office areas, customer correspondence, front desk operations, data entry, document organization, and logistics coordination to ensure compliance and efficiency.
Coordination & Logistics: Collaborate with production, warehouse, drivers, sales staff, and management to confirm product availability, prepare packages, schedule drivers, plan routes, track deliveries in real-time, and dispatch to the company's customers across Ontario and Montreal using the company owned and third party logistics arrangement; manage inventory levels and implement quality control measures.
Payment & Reporting: Track customer payments (e.g., via bank cheques), update the finance department, conduct daily morning meetings with management to review order status, and resolve any issues related to product availability and dispatches.
Performance Optimization: Optimize operations and logistics performance, mitigate risks, develop and maintain SOPs for inventory management, supply chain processes, order fulfillment, and administrative coordination; develop strategies for continuous improvement and long-term planning.
Growth & Relationships: Pursue growth opportunities in line with company strategy, meet profit goals, establish and maintain relationships with customers and vendors, and provide feedback on market trends.
Compliance & Development: Ensure team adherence to company policies, food safety standards, and regulations; coach staff on ERP systems, problem-solving, and customer service; oversee staff training, recruitment, and goal-setting to achieve objectives.
Qualifications:
Experience: 3-5 years in operations management within food manufacturing, importing, warehousing, or distribution industries, with supervisory experience over coordinators or administrative roles; experience in a fast-paced, high-volume distribution operation preferred.
Education: Bachelor's degree in Business, Operations Management, Supply Chain, or a related field preferred.
Technical Skills: Strong knowledge of supply chain and logistics, including inventory management and ERP systems such as Spire, Oracle, or SAGE300; advanced proficiency in MS Office (Outlook, Excel, PowerPoint, Word); knowledge of POS systems and warehouse management software is an asset.
Leadership & Soft Skills: Organized with strong attention to detail; excellent communication, planning, problem-solving, and results orientation; ability to thrive in a fast-paced team environment; proven leadership in training, coaching, and motivating teams.
Language: Fluency in English required; additional languages such as Punjabi, Hindi, or Urdu are an asset.

Schedule
