Job Description

The primary function of this position is to coordinate and execute the maintenance of the entire property, to the best of ability, at standards set by corporate board and management.

Responsibilities include but are not restricted to:

PROPERTY MANAGEMENT



Perform daily inspections of buildings and land, ensuring the General Manager/Assistant General Manager or the officer otherwise designated by the General Manager/Assistant General Manager is kept updated on any discrepancies and their remedies. Ensure compliance with health and safety regulations, building codes, and environmental standards. Ensure daily inspections and progress of capital projects. Keep up to date with energy management including, as it relates to tenant metering. Document and arrange for appropriate remedial work using the company purchasing/procurement guidelines. Manage all aspects of sustainability, including organic waste diversion. Ensure organizational adherence and accountability to standard operating procedures.

HEALTH, SAFETY AND RISK MANAGEMENT



Oversee health and safety compliance. Develop and implement emergency response plans with the security and operations team. Oversee security operations to ensure a safe environment for shoppers, tenants, and staff. Manage insurance claims and risk mitigation strategies.

BUDGETS AND FINANCIAL



Maintain and monitor budget control books, including controlling the purchasing of supplies. Prepare, budget and execute Major Capital Expenditures. Prepare and execute yearly expense budgets including recoveries. Prepare monthly forecast, variance reports and complete year end expense accruals. Track and oversee all utilities expenses and tenant billing related to water, hydro and gas metering. Prepare purchase orders and get competitive quotes when required pursuant to the purchasing guidelines.

SERVICE CONTRACTS



In collaboration with directors and ownership, negotiate and manage all service contracts. Manage vendor relationships and contracts for services such as security, HVAC, cleaning, landscaping, and snow removal.

TENANT COORDINATION



Manage tenant-related construction in collaboration with the Leasing team and Corporate Directors. Work collaboratively with the Corporate Directors, Marketing Coordinator, and Leasing Manager. Coordinate and execute specialty operations projects concerning property assets as entrusted by Directors or company board.

TEAM LEADERSHIP



Monitor, measure, coach and develop direct reports, ensure adherence to policies and procedures, provide recognition, evaluate and provide feedback on performance, address performance concerns and resolve problems. Help lead the team in providing the highest levels of service to all customers with whom they interact, whether internal or external, with the goal of continuously improving the customer experience. Champion programs for increasing associate engagement, communications and people development. Implement improved operational processes that enhance capabilities to meet and exceed service standards.

REQUIREMENTS



Education & Certifications:

Post-secondary education in fields like mechanical/civil engineering or technical trades. FMA, CEM / CET / P.Eng designation is an asset.

Experience:

3+ years of experience in shopping centre or retail property management.

Knowledge:

Experience with industry technologies and best practices, particularly in facilities management, sustainability, and energy management. Proficiency in property management software and Microsoft Office Suite.

Problem-Solving:

Strong analytical, prioritization, and problem-solving skills, with the ability to adapt to shifting priorities in a fast-paced environment.

Contract & Budget Management:

Strong background in managing budgets, financial statements, and contracts.

Communication and Leadership Skills:

Excellent verbal and written communication skills in English, with the ability to work well across teams. Must possessexcellent people management skills with a hands-on, collaborative approach.

Ability to work flexible hours, including evenings and weekends as required.

Pay: $85,000.00-$120,000.00 per year
