About the Role
I'm looking for a dedicated, licensed real estate Operations & Client Experience Manager who's based in the GTA and can offer both remote and in-person support across building and running SOP's, doing showings, handling client care, leases, day-to-day operations and more. This is a full-time, hands-on role designed for someone who thrives and can multi-task in a fast-paced real estate environment and is excited to grow with the business.
You'll work closely by collaborating on everything from deal execution and backend systems to content ideas and social strategy. I'm ideally looking for someone who's already licensed and at our brokerage (Property.ca) or open to joining. This is not just a task-taking role, I'm looking for someone who anticipates needs, flags inefficiencies, and takes ownership in building a clean, scalable backend operation without waiting for instructions.
The right person will be ambitious but grounded, comfortable running solo when needed, and excited to co-create high-level experiences for clients. You'll help shape everything from client communication to content creation, with the ability for bonus opportunities tied to performance and business growth.

What You'll Do (Non-Exhaustive) Client & Deal Support
Prep documents, collect IDs, and prep/manage paperwork
Draft agreements, waivers, and APS
Upload and track deals in Follow Up Boss (FUB) & other softwares
Manage CRM: tagging, reminders, birthdays, closing anniversaries
Set calendar tasks and follow-ups
Send "next steps" emails, order closing gifts, and update contact info
Showings & Local Support
Set up lockboxes and attend showings for rentals or overflow clients
Manage lease listings independently
Vet tenants, run Singlekey reports, check references, and prep leases
Marketing & Content Support
Assist with social media content (captions, hashtags, uploads)
Help brainstorm and organize video shoots or reels
Draft and update monthly newsletters
Source music, events, and creative angles for content
Prep comps and help create real estate reviews and video materials
Lead Management & Automation
Organize and respond to new leads
Launch email campaigns, alerts, and track conversations
Maintain lead flow using CRM and project management tools
Backend Systems & Project Management
Build out SOPs and workflow docs for key tasks
Use tools to manage backend systems/SOPS,Coordinate projects, track deadlines, and flag improvements
Suggest and implement automations where possible
Event & Community Support
Help brainstorm and plan community events or giveaways
Assist with invites, promotional materials, and email workflows
Weekly Rhythm
Check in during working hours
Track weekly market stats and update Google Sheets
Stay ahead of timelines for all active clients and deals
Tools You'll Use Regularly: Follow Up Boss, Google Workspace (Meet/Sheets/Docs/PowerPoint), Canva, CapCut/Reels Editor, Trello/Notion/Monday.com (or similar), SingleKey, CRM automations, and more.
What You'll Need
2+ years of experience in real estate support, admin, and/or operations
Real estate license at Property.ca or willing to join
Based in the GTA with the ability to provide regular in-person support
Driver's License and car
Detail-obsessed, organized, proactive, thrives under pressure, anticipates needs.
Strong attention to detail and ability to multitask
Comfortable assisting with leases, smaller buyer clients, and overflow client showings
Strong organizational skills and follow-through
Tech-savvy and familiar with tools like Follow Up Boss, Canva, G Suite, Zoom
A creative streak - you enjoy brainstorming content, reel ideas, and visual storytelling
Calm, focused, and proactive in a fast-moving environment
Collaborative mindset - someone who wants to be part of a growing business, not just assist with one
Schedule flexibility to potentially perform some tasks during weekends and evenings.
What I Offer
Base Salary: $40,000 annually
Additional Compensation: Bonus structure averaging $20,000-$40,000 based on deal volume (not commission; paid as employee bonus on a quarterly basis)
