What to Expect



This is a fast-paced, execution-driven role supporting both clinic operations and hands-on training programs. There are many moving parts: instructors, students, schedules, supplies, travel, and live course delivery and priorities can shift quickly.

Success in this role requires someone who is highly autonomous, comfortable making decisions, and able to think on their feet in real time. The senior leadership team is hands-off day to day but have very high standards for operational excellence, professionalism, and follow-through.

Key Responsibilities



Course & Instructor Operations



Coordinate and schedule instructors for in-person and virtual courses Manage instructor travel, accommodations, materials, and on-site logistics Ensure all instructors are operationally prepared and aligned to course standards Serve as the primary point of contact during live course delivery

Student Experience & Customer Support



Oversee end-to-end student experience from registration to post-course follow-up Address student inquiries, scheduling questions, and issue resolution Ensure a consistent, professional, and supportive learner experience Collaborate with marketing and sales teams on enrollment readiness and communications

Course & Event Logistics



Plan and execute operational logistics for in-person courses and events Manage supplies, equipment, inventory, and ordering for training delivery Coordinate course setup, teardown, and on-site readiness Ensure all operational checklists and SOPs are followed consistently

Operational Excellence & Process Management



Implement and maintain standard operating procedures (SOPs) for courses and events Identify operational gaps and recommend practical improvements Maintain clear documentation and repeatable processes across all programs Support continuous improvement in course execution and delivery quality Ensure regulatory compliance for instructor certifications and medical directors

Cross-Functional Collaboration & Reporting



Work closely with leadership, instructors, marketing, and sales teams Track operational metrics related to course delivery, attendance, and issues Provide regular updates on operational readiness, risks, and improvement

Qualifications



3-6 years of experience in operations, program coordination, event management, or training delivery Strong experience coordinating people, schedules, logistics, and moving parts Excellent organizational and problem-solving skills Strong customer service mindset with professional communication skills Comfortable working in a fast-paced, hands-on environment Ability to manage competing priorities and remain calm under pressure Experience in MedSpa or Clinic Management is an asset

Experience Requirements

Experience gained outside of Canada will be considered, provided the candidate is eligible to practice in Canada and can demonstrate competence aligned with Canadian clinical and professional standards.
