The Operations Manager is responsible for overseeing the daily operations, ensuring the facility runs smoothly and delivers high-quality healthcare services. This position involves managing staff, optimizing clinic processes, interacting with vendors and third=party suppliers, ensuring compliance with healthcare regulations, and enhancing patient satisfaction.
DUTIES:
Respond to all or any issues within the fertility clinic with particular attention to the following:
Clinic Operations Management:
Oversee the day-to-day operations of the clinic, ensuring that all services are provided efficiently and effectively.
Monitor and manage clinic workflows to optimize patient flow and reduce wait times.
Ensure equipment is purchased, maintained and repaired as per required standards and appropriate staff are trained on safe and effective usage.
Coordinate with medical and administrative staff to ensure smooth operation during patient visits.
Staff Management:
Supervise and manage staff, including phlebotomists, clinic-aide, and some administrative personnel.
Hire, train, and onboard new employees, ensuring they are compliant with the clinic's policies and procedures.
Conduct regular performance reviews and provide guidance to improve employee performance and morale.
Technology & System Management:
Oversee the implementation and maintenance of clinic management software, internet, telecommunication and other technological systems.
Ensure that electronic medical records (EMR) systems are properly used and updated.
Negotiate with third-party service providers to secure cost-effective and high-quality services.
Inventory & Supplies Management:
Manage medical supplies and inventory, ensuring that the clinic is always stocked with necessary equipment and materials.
Negotiate with suppliers and vendors to secure cost-effective and high-quality products.
Compliance & Regulations:
Ensure the clinic adheres to all healthcare regulations, including but not limited to, PHIPA, AODA, OHSA, and local health department guidelines.
Participate in the development of policies, procedures and standards, in order to stay compliant with the applicable regulations and follow industry best practices.
Stay updated on changes in medical laws, billing codes, and regulations that affect the clinic's operations.
Prepare for site visitation by Accreditation Canada, Health Canada, Public Health, or any other licensing body that ONE Fertility is required for certification and licensing
Participate actively in quality assurance and quality improvement initiatives collaborating with the clinical management
Patient Experience:
Implement strategies to improve the overall patient experience, from scheduling appointments to follow-up care.
Facilitate handling of patient complaints and issues, ensuring that they are addressed in a timely and professional manner.
Develop initiatives to enhance patient satisfaction and retention.
Business Management:
Support Business Director in clinic-wide initiatives
Special projects when assigned
Qualifications:
Education:
Bachelor's degree in Healthcare Administration, Business Administration, or a related field. A Master's degree is an asset.
Experience:
Minimum of 3-5 years of experience in healthcare management or a similar role, preferably in a medical clinic or healthcare facility.
Skills:
Strong leadership and organizational skills.
Excellent communication and interpersonal abilities.
Proficient in electronic medical record systems (EMR).
Understanding of healthcare regulations and compliance.
Strong problem-solving skills and attention to detail.
Ability to manage multiple tasks and prioritize effectively.
Working Conditions:
Requires to work on-site with standard clinic hours (7am to 3pm)
Occasional evening or weekend hours may be required.
