Overview:



The Operations Manager is responsible for overseeing and monitoring activities of staff and optimizing day-to-day transportation operations, warehouse and dispatch department to ensure efficiency, productivity, and high performance across the organization. This role involves leading teams, driving operational strategies, managing cross-departmental collaboration, and improving systems and processes to support the company's growth and strategic goals.

This candidate must have a strong understanding of MTO regulation and be able to promote safety on a daily basis. The OM must also have strong organizational and communication skills. They will be responsible for developing training programs and writing reports that are intended to document whether the transportation & warehouse safety programs are successful and to make recommendations about what kinds of changes can be made The OM is expected to work in a professional, courteous manner and establish excellent working relationships with customers, clients and fellow employees.

Job Functions Include but Are Not Limited To:



The following are the requirements to be completed by the Operations Manager themselves, or through their direction to appropriate staff:

Safety and Compliance Management



o Ensure all warehouse equipment meets safety regulations and that employees use tools and equipment correctly.

o Conduct warehouse safety audits and implement corrective actions to comply with regulations/standards.

o Interface with regulatory agencies, committee members, and staff to formulate corrective actions.

o Oversee the proper care and maintenance of all facilities and equipment to maintain a hazard-free work environment.

o Ensure the availability and proper condition of safety equipment (e.g., fire extinguishers, hard hats, gloves).

o Enforce safety and compliance regulations for warehouses and transport employees, vehicles, and equipment.

o Design, implement, and monitor safety policies, procedures, and training programs for all staff.

o Work with upper management on accident/incident investigations, reports, and corrective actions.

Warehouse Operations & Inventory Management



o Organize and maintain inventory and storage areas to optimize space and accessibility.

o Ensure shipments and inventory transactions are accurate.

o Monitor warehouse activities and measure performance against strategic operational goals (e.g., productivity, quality, and customer service).

o Maintain inventory through regular counts, reconcile variances, and input data as necessary.

o Ensure proper organization of floor space and recommend improvements to storage systems and layout.

o Schedule materials to be moved within the warehouse, coordinating transfers and optimizing efficiency.

o Monitor warehouse systems for improvements and ensure optimal organization for smooth operations.

Employee Training & Development



o Design and implement training programs for employees at all levels, focusing on warehouse safety, equipment handling, and compliance.

o Ensure forklift certification and other training programs are completed and tracked.

o Develop corrective action programs and ensure follow-up to maintain compliance and improve performance.

o Coach, counsel, discipline, and monitor employee performance through regular reviews and performance appraisals.

o Ensure job expectations are clearly communicated and provide ongoing training to meet operational goals.

Customer Service & Satisfaction



o Maintain high levels of customer satisfaction by ensuring timely and accurate shipments.

o Communicate with customers to resolve issues, discrepancies, and shipping-related concerns.

o Oversee the management of shipments, including coordinating with freight forwarders and tracking delivery statuses.

o Handle replacements, shortages, and miss-shipments efficiently by determining optimal responses (e.g., replacement or credit).

o Maintain customer relationships and provide exceptional service to ensure continued satisfaction.

Transportation & Logistics Coordination



o Oversee transportation and delivery operations, ensuring efficient routing and adherence to safety regulations.

o Plan and schedule deliveries, optimizing routes for cost-effectiveness and timely service.

o Coordinate third-party services for shipping and freight forwarding.

o Ensure vehicles are loaded correctly and drivers have all necessary documentation.

o Manage vehicle maintenance and ensure all trucks undergo regular service and repairs.

o Coordinate rental trucks as necessary and ensure equipment is in optimal condition for operations.

Operational Efficiency & Process Improvement



o Monitor warehouse and transport operations to identify areas for efficiency improvement.

o Develop strategies to improve warehouse operational performance, including resolving operational challenges and implementing improvements.

o Develop strategies to drive efficiency and effectiveness of company support services, such as finance, information technology, and human resources, by coordinating communication between their business and support functions.

o Demonstrate knowledge of current ongoing customer requirements, changes to contracts or new client set up in order to meet customer expectations and Service Level Agreements (SLA).

o Communicate with staff and ensure operations personnel are scheduled appropriately.

o Keep equipment operating by enforcing operating instructions; troubleshooting breakdowns; requiring preventive maintenance; calling for repairs.

o Implement and track KPIs to measure performance, identify bottlenecks, and drive operational improvements.

o Collaborate with other departments to improve internal processes and streamline operations across the company.

o Support senior management in decision-making and implementing strategies for overall business growth.

o Ensure compliance with company policies, health, safety, and environmental standards.

Financial Oversight & Budget Management



o Achieve warehouse financial standards by monitoring expenditures and addressing variances.

o Provide financial information to senior management and help identify opportunities for cost reduction or efficiency improvements.

o Assist in budgeting and managing resource allocations for warehouse operations and logistics.

Staffing & HR Coordination



o Assist with staffing, including recruitment, training, performance reviews, and payroll approvals.

o Develop staffing strategies to ensure operational needs are met efficiently.

o Manage quality assurance programs, monitor exit processes, and develop strategies to enhance their effectiveness

o Handle employee discipline and resolve performance issues in line with company policies.

o Ensure the warehouse and transport teams comply with employment regulations and relevant local/provincial/federal policies.

Reporting & Documentation



o Maintain accurate records of inventory, shipments, and employee performance.

o Track and report key performance metrics for warehouse operations, customer satisfaction, and transportation.

o Create and distribute daily, weekly, and monthly operational logs and reports.

o Ensure all necessary documentation is in place for compliance, safety audits, and performance tracking.

Strategic Planning & Continuous Improvement



o Work closely with upper management to align operational goals with company objectives and customer requirements.

o Develop and implement strategic plans that drive improvements in warehouse and transportation operations.

o Review and refine standard operating procedures (SOPs) based on changing business needs.

o Ensure ongoing process improvements and business continuity planning, particularly for disaster or security preparedness.

o Engage with Trucking Associations and keep management updated on new regulations and industry developments

Collaboration and Cross Department Coordination



o Coordinate with other departments to ensure seamless operations and alignment with company-wide goals.

o Foster collaboration between warehouse, transport, and support departments to enhance efficiency and productivity.

o Maintain effective communication with external partners, vendors, and customers to meet business needs.

Certificates/ Licenses Required:



o Completion of MTO Compliance training

o Forklift Certified

Other Required Qualifications:



o Fluent oral and written English; ability to speak another language an asset.

o In-depth knowledge and experience in logistics terminology, procedures, setup, and office administration

o Leadership qualities to provide support and direction to other staff.

o Demonstrated ability to establish excellent client/customer/public relations.

o Ability to maintain confidentiality and privacy pursuant to company policies.

o Must be organized, neat and efficient.

o Must show initiative, pleasant manner, positive attitude and willingness to work with a variety of stakeholders.

o Ability to maintain outgoing, friendly attitude with customers, staff, and stakeholders.

o Ability to work with interruptions and to manage multiple priorities.

o Demonstrated ability to effectively function as a team member and ability to establish excellent working relationships with the fellow Staff.

o Proven flexibility, initiative, strong organizational and problem solving/decision making skills.

o Maintain an acceptable attendance record.

o Experience with regulatory agencies required (MTO, etc)
