Position Overview
The Operations Manager is a key member of our leadership team. Reporting to the Executive Director, they are responsible for overseeing the day-to-day operations that keep our clubhouse running smoothly. This role ensures the highest level of organizational efficiency, financial management, and administrative support, allowing staff and volunteers to focus on delivering programs and services to our members.
Financial & Administrative Management
Oversee all financial processes, including payables, receivables, deposits, and reconciliations.
Prepare and manage budgets, monthly financial statements, and reports for the Board of Directors.
Participate in financial audits and ensure proper reporting and compliance.
Record and distribute meeting minutes for Board and Committee meetings.
Manage contracts, insurance renewals, and vendor relationships.
Human Resources & Staff Support
Manage onboarding, payroll, benefits administration, and HR policies.
Provide day-to-day support to staff and volunteers, ensuring smooth operations.
Foster a positive workplace culture rooted in teamwork and respect.
Facilities & Operations
Coordinate vendors and contractors for clubhouse maintenance and upkeep.
Ensure operational systems and processes are effective, efficient, and aligned with organizational goals.
Support IT needs, systems upgrades, and office technology.
Organizational Support
Collaborate with the Operations and Program Team to support organizational priorities.
Assist with fundraising and signature events as needed.
Maintain accurate records, files, and compliance with non-profit regulations.
Qualifications
Expert knowledge of QuickBooks, including financial reporting, reconciliations, and participation in financial audits.
Knowledge of Gnosis (database) considered an asset.
Knowledge of Ceridian Powerpay (payroll) considered an asset.
Post-secondary education in Business, Nonprofit Management, or a related field, or equivalent experience.
3-5 years of progressive experience in operations, administration, or nonprofit management.
Strong financial acumen and attention to detail.
Demonstrated ability to take initiative, problem-solve effectively, and provide leadership in day-to-day operations.
Excellent organizational, communication, and interpersonal skills.
Ability to work cohesively within a small team while also working independently.
Proficiency in Microsoft Office Suite; comfort with donor databases or CRM systems is an asset.
Valid First Aid Training certification.
