Summary
We are seeking an eagerly dedicated Operations Lead / Practice Administrator to join our team. This vital role involves managing daily operations, ensuring efficient practice management, and supporting our mission to promote holistic wellness for families in our community. This role translates vision into execution. You build systems, assign ownership to tasks, and audit outcomes. Your work protects revenue, strengthens culture, reduces risk, and enables scalable growth.

Role Purpose
To own and optimize people, processes, systems, and performance so the clinic can operate and grow sustainably while maintaining high standards of culture, compliance, and patient experience.
Key Responsibilities
Operations & Systems
Own day-to-day operational performance across all departments
Design, document, and enforce SOPs
Ensure scalability as staffing grows
Identify and fix operational bottlenecks
Capacity and contingency planning
Financial Oversight
Oversee daily reconciliations and cash controls
Own AR workflows and billing accuracy
Track budgets vs. actuals
Identify revenue leakage and margin erosion
Prepare operational financial summaries
People & Culture
Own full employee lifecycle (hire to exit)
Lead hiring, onboarding, performance management, and discipline
Maintain HR documentation and employment compliance
Act as steward of clinic values and behavioural standards
Data & Reporting
Own operational KPIs and dashboards
Review metrics weekly and drive corrective action
Reporting to ownership
Compliance & Risk
Ensure compliance with employment, privacy, and billing standards
Maintain incident reporting and risk mitigation processes
Vendors & Facilities
Manage vendors, inventory, and facility standards
Who You Are
A proven operations leader(not an office manager)
Comfortable owning outcomes, not just tasks
Highly organized, decisive, and data-driven
Strong in people leadership and accountability conversations, protects team culture
Experienced in HR, financial controls, and SOP design
Works exceptionally well in team environment
