We are seeking a highly organized, proactive, and detail-driven Operations Lead to support the growth of HumanKind's HR and Benefits Solutions business.
Introduction and Purpose of the Role
The Operations Lead plays a key role in leading and shaping the growth of HumanKind HR Solutions' business. The position includes a focus on client service including benefits administration, HR document formatting and editing, business growth, management of projects, sales, research of prospects, new business calls, networking, implementation of new clients, sales proposals, on-going client relations, overseeing office management and administration. The Operations Lead works closely with the President.
Responsibilities
Lead and manage benefits administration and implementations, general communication with clients and partners, support sales, marketing, client outreach, social media and events. Support consultants in creating outstanding documents and presentations and generally support delivery of HR solutions to small business and non-profit clients. Develop, implement, and monitor day-to-day operational systems (SOPs) and processes
Support and provide visibility into the goals, progress, and obstacles of key initiatives
Plan, monitor, and analyse key metrics for day-to-day operations to ensure efficient and timely completion of tasks via Google Calendar, Documents and functionalities of Google
Implement process improvements to maximise output and minimise costs
Adhere to HumanKind's policies and standards, and ensure laws and regulations are being followed
Development, and editing, of service offerings, in particular health, wellness and mindfulness programs
Development of new business proposals
Writing of reports and other documents for prospects and clients
Booking appointments, meetings and maintaining communication with clients
Working with insurance providers and clients to complete benefits quotes, implementations, and renewals
Benefits Administration on a daily basis - Act as a first point of contact for client and employee benefits inquiries; triage and resolve issues promptly; Support administration of group health, dental, and savings plans; Coordinate benefits enrollments, changes, terminations, and renewals; Liaise with insurers and third-party providers (including GroupQuest); Prepare monthly billing summaries and maintain accurate records; Ensure confidentiality and appropriate handling of personal information
Administration of health, wellness and mindfulness programs (surveys and scheduling)
Ongoing client relations - troubleshooting, networking, plan changes, blog writing, development and distribution of client communications
Client database updating and maintenance
Creating prospect lists of potential clients, assistance in prospecting and new business calls
Some bookkeeping (tracking invoices and payments - incoming and outgoing)
Other general administrative support as required
Maintaining and suggesting Social Media initiatives
Required Skills
Excellent interpersonal skills, and verbal communication ability
Fast and skilled at formatting documents - GoogleDocs Table of Contents, Slides, Posters, using logos, etc.
Highly developed writing and editing skills
Experience with GSuite - GoogleDocs, Sheets, Presentations, Forms (for surveys)
Social Media and other software experience
Administrative or client services background
Knowledge of social media, web marketing and web development
Customer service / client care experience
Experience in business development, sales and cold calls
Some knowledge of accounting / finance
Sales knowledge an asset
Human resources experience and basic understanding of laws and regulations
Good to have but not required
Knowledge of both group and individual lines of benefit - AN ASSET BUT NOT REQUIRED
