Operations & Inside Sales Administrator

The Role



You will serve as the central hub of our business, managing day-to-day office operations while actively supporting our sales goals. You will handle inside sales inquiries, build relationships with current clients, and ensure our logistics and administrative back-end support these sales seamlessly.

Key Responsibilities



1. Inside Sales & Customer Relations



First Point of Contact:

Act as the primary liaison for incoming sales calls and emails; qualify leads and direct them to the appropriate technical or outside sales staff.

Account Management:

Build and maintain strong relationships with existing customers; proactively check in on satisfaction and identify opportunities to upsell or cross-sell products.

Order Management:

Create and process quotes and invoices with high accuracy; ensure pricing and product availability are communicated clearly to customers.

CRM Management:

Compile and maintain customer records, sales data, and statistical reports to support the General Manager and Sales Team.

Issue Resolution:

Handle customer complaints or shipping issues with professionalism and urgency, liaising with the warehouse to resolve problems quickly.

2. Operations & Logistics



Logistics Coordination:

Verify purchase orders, create packing slips, and coordinate material pick-ups/deliveries with the Warehouse Team (morning and afternoon shifts) to ensure timely shipping.

Inventory Support:

Assist in tracking inventory levels to ensure product availability for sales orders.

Office Administration:

Receive visitors, determine priority status, and manage general office inquiries.

Collaboration:

Work closely with other Operations Team members, along with the Warehouse, Technical Support, and Sales Teams to ensure workflow efficiency.

3. Marketing & General Support



Marketing Support:

Assist in preparing marketing materials and strategies; plan advertising and promotional campaigns to generate leads.

Social Media:

Create and manage social media content to boost brand visibility.

Other Duties:

Assist with special projects and other duties as assigned by management.

Qualifications



Education:

Bachelor's Degree required (Business Administration, Commerce, or related field preferred).

Experience:

Minimum 3-5 years of experience in Administrative or Operations roles. Minimum 2 years of experience in Inside Sales, Customer Service, or Account Management.

Language Skills:

Excellent verbal and written communication skills in English are mandatory; French is a strong asset.

Technical Skills:

Proficiency in MS Office Suite (Excel, Word, PowerPoint) is required; familiarity with CRM software (e.g., Salesforce, HubSpot) is a plus.

Soft Skills:

Strong problem-solving ability and resourcefulness. Exceptional time management and organizational skills. High attention to detail, specifically regarding invoicing and order entry. Flexibility to adapt to a rapidly growing and changing environment.

Pay: $48,000.00-$55,000.00 per year
