Summary



The Operations Coordinator is a key administrative and operational support role within the Operations Department, reporting directly to the Regional Manager. This position plays a critical role in ensuring the smooth execution of operational activities across EasyPark's portfolio, with an emphasis on administrative efficiency, vendor coordination, compliance management, and frontline staff support.

Responsibilities include managing shared services such as security, janitorial, and maintenance, overseeing purchase order processing, following up with vendors for invoices and documentation, maintaining business licenses for all sites, and conducting competitive market rate surveys. The Operations Coordinator will also oversee the organization's Occupational Health and Safety (OHS) program, including organizing and chairing OHS meetings, maintaining compliance records, and supporting initiatives that promote a safe work environment.

The role is approximately 80% office-based and 20% on the road, requiring site visits to inspect facilities, meet with vendors, and support operational needs. Weekend work may be required, and blackout vacation periods are in place from April 1-September 1 and November 25-January 5 annually.

Key Responsibilities



Administrative & Operational Support



Provide direct administrative support to the Regional Manager, including preparing reports, tracking action items, and maintaining operational records. Coordinate shared services (security, janitorial, and maintenance) with the Operations team, ensuring quality service delivery and timely completion of work orders. Manage purchase order processes from initiation to approval, ensuring documentation accuracy and compliance with company procedures. Follow up with vendors to obtain invoices, verify service completion, and collect required documentation. Maintain and renew business licenses for all managed sites, ensuring full compliance with municipal and provincial regulations. Assist in scheduling frontline staff to ensure optimal coverage for day-to-day operations, events, and seasonal demand.

Vendor & Service Coordination



Act as the primary liaison between vendors and the operations team, addressing service issues and ensuring work is completed on time. Track vendor performance, escalate concerns to the Regional Manager, and ensure contract and contact information is current.

Market Competitiveness & Rate Analysis



Conduct regular rate surveys of competitor parking facilities to ensure EasyPark remains competitive. Analyze survey data, monitor market trends, and recommend pricing adjustments to the Operations team.

Health & Safety



Lead and coordinate the organization's Occupational Health and Safety (OHS) program, ensuring compliance with all applicable legislation and internal policies. Organize, chair, and document OHS meetings, ensuring follow-up on all action items. Maintain accurate records of safety inspections, incidents, and training requirements. Support and promote a culture of safety across all departments.

Reporting & Data Management



Prepare operational performance reports, site inspection summaries, rate survey results, and health and safety updates for internal review. Maintain comprehensive records for all operational, compliance, and safety-related activities. Assist with preparing presentations, proposals, and operational documentation as needed.

Qualifications & Skills



2+ years of experience in an administrative, coordination, or operational support role, preferably in facilities management, property management, or a related industry. Class 5 driver's license with a clean driver's abstract (must be able to drive company or rental vehicles as required). Strong organizational skills with the ability to manage multiple priorities and meet deadlines. Excellent communication and interpersonal skills for working with internal teams, vendors, and clients. Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint). Comfortable with technology; experience with Zendesk, Monday.com, Sage Intacct, and Dayforce is considered an asset but not required. High attention to detail and accuracy in reporting, scheduling, and record-keeping. Knowledge of OHS regulations and experience in coordinating health and safety programs is considered a strong asset. Ability to work independently and collaboratively in a fast-paced environment. Flexibility to work weekends as required and adapt to operational priorities.

Working Conditions



80% office-based, 20% on-site at various parking locations for inspections, vendor meetings, and operational support. Standard business hours with flexibility for evening and weekend work when required. Blackout vacation periods:

April 1 - September 1



November 25 - January 5



Combination of indoor office work and outdoor site visits, occasionally in varying weather conditions.

Pay: $50,000.00-$55,000.00 per year
