The Opportunity - Operations Coordinator, School of Life Science & Business (permanent, full-time)

The School of Life Science and Business Operations Coordinator is a key member of the administrative team of the school and works closely with the Dean and Associate Dean in the management of day-to day operations. The work is highly interactive and constant coordination of priorities requires a high degree of professionalism, maturity, and diplomacy while interacting with a broad spectrum of stakeholders. The Operations Coordinator is responsible for completing business transactions, human resource functions, identifying and supporting facility projects, and ensures that business operations are effective and efficient to deliver excellent service to staff, students, faculty, and external partners. This work involves managing data, preparing reports for internal and external stakeholders, maintaining shared drives and records, and using project management principles to optimize workflow across the school.
This position requires a high level of organization, the ability to handle sensitive information, and effective communication. This position is full-time, permanent and requires on-campus attendance.
Key Job Functions:
Financial / Budget and Forecasting
Oversee financial performance and guide business operations of the school
Support the completion of all business and activity reporting including program budgets and report status to Dean and Associate Dean on a monthly, quarterly, and annual basis
Perform training on financial systems for users in the school
Execute all business contracts and research grants using the appropriate systems
Assist school faculty and staff in the procurement and management of materials and supplies
Manage the requests and purchasing of capital within the school
Develop the annual operational budget and perform quarterly variance analysis and reporting in conjunction with the Dean
Perform financial transactions and record-keeping related to the operations of the school
Review credit card statements and expense claims and report irregularities or concerns to the Dean.
Administrative Coordination
Participate as a key member of the school administrative team, attend relevant meetings and action operational requests and decisions
Work closely with cross-campus departments including Business Services, People and Culture, Campus Facilities, Health and Wellness, Registrar's Office, and Conference Services
Lead non-curricular operations that support the school goals and academic programming
Provide recommendations to the Dean regarding operational efficiencies
Lead contact for OH&S, WCB, and incident reporting
Provide assistance with project coordination related to facilities, financial performance, health and safety
Support school-level events and planning
Support the Dean and Associate Dean with the initiation of recruitment requests and the establishment of employee contracts
Approve submission of contract hours as delegated
Track school truck mileage, vehicle detailing and user booking system
Support staff with administrative functions as needed
Participate in bi-weekly program meetings and action operational requests and decisions.
Customer Service and Cross Campus Collaboration
Work collaboratively with faculty, staff and students across the school and college.
Take initiative to problem-solve and resolve issues and concerns as they arise.
Education, Experience, Skills, and Knowledge Required:
Post-Secondary training in a relevant discipline (e.g., Business Administration), Bachelor of Business Administration preferred
Minimum of five (5) years of relevant experience in executive assistance, budget management, project management, change management, or other related experience Project Management experience is an asset
Experience working in a post-secondary environment is preferred
Experience with financial, human resources, project management, and other business systems
Evidence of strong oral and written communication skills
Evidence of high quality customer service skills

Conditions of Employment
This is a full-time position, Monday through Friday 8:15 a.m. - 4:30 p.m.
