We are seeking a highly organized and detail-oriented

Operations Coordinator

to support our Production and Shipping teams in a fast-paced manufacturing environment. This role is essential to ensuring smooth day-to-day operations through effective administrative support, schedule coordination, data management, and cross-departmental communication.

Key ResponsibilitiesAdministrative Support



Provide administrative assistance to Production and Shipping Managers. Maintain and update production, inventory, and shipping documentation. Prepare daily, weekly, and monthly reports, including production logs and shipment tracking. Process purchase orders, work orders, and shipping documentation. Manage both digital and paper-based filing systems for accessibility and compliance.

Coordination & Communication



Coordinate meetings, logistics, and deliveries with internal teams and external vendors. Serve as a key liaison between Production, Shipping, Customer Service, and other departments. Communicate shipping updates and production schedules to stakeholders in a timely manner.

Data Entry & Systems



Enter and maintain accurate data in ERP or inventory management systems. Track backorders and discrepancies in production and shipping records, collaborating with relevant departments to resolve issues.

Compliance & Safety



Support adherence to company policies and safety regulations. Assist with the preparation of documentation for audits, quality control processes, and regulatory inspections.

QualificationsEducation:



High school diploma or GED required. Associate's or Bachelor's degree in Business, Logistics, Administration, or a related field is preferred.

Experience:



Minimum of 2 years administrative experience, preferably in a manufacturing or logistics environment. Familiarity with production workflows and shipping procedures is a plus.

Skills & Competencies:



Strong organizational and multitasking abilities. High proficiency in Microsoft Office Suite (Excel, Word, Outlook). Experience with ERP systems (e.g., Macola or similar platforms). Excellent verbal and written communication skills. Strong attention to detail and ability to meet tight deadlines. Comfortable working in a dynamic, fast-paced environment.

Job Type: Permanent

Pay: $55,000.00-$65,000.00 per year
