The Operations Coordinator position will support In Charge Coaching with various operational and administrative tasks. We are looking for someone who is eager to grow (as an individual and with us as a company).
Client Delivery Operations:
Onboarding / off-boarding clients
Sending out and scheduling regular client emails (call reminders, call recordings, client calendars, and other client communications)
Assist with recording of client priorities and updates
Formatting and delivering client resources
Keeping client records up-to-date, and inputting important notes, priorities, updates or dates into the CRM
Assist with collecting client wins & testimonials
Assist with posting and responding to clients in Voxer
Maintain relationships with current and past clients through regular touch points and check-ins.
Monitoring client satisfaction through touch points and surveys
Facilitating client referrals, renewals and reactivations
Support with or complete miscellaneous tasks as needed
Updating processes as is necessary to optimize efficiency
Marketing Operations:
Distributing content to our social media platforms, and tracking it's performance
Preparing brand graphics and formatting downloadable resources on Canva
Coordinate sending out email campaigns in MailerLite
Work closely with the Client Solutions Specialist to set up Masterclasses or other public-facing events, such as updating opt-in pages on Coachlab, email sequences on Mailerlite, capturing registrants, and posting related promotions on social media
Researching and contacting people for potential PR placements, podcast guesting, and speaking opportunities
Managing website and updating it's content
Support with or complete miscellaneous tasks as needed
Updating processes as is necessary to optimize efficiency
Other Administrative Responsibilities:
Assist with managing the Monday CRM
Assist with organizing company files in Google Drive
Assist with client invoicing and payment collection

Requirements
2-3 years of experience in an operational or administrative assistant role
2+ years of experience in online business or the digital marketing space
2+ years of customer service experience
Can proficiently use and navigate Google Suite
Experience with Voxer, Mailerlite, Padlet, Trello, and Monday CRM preferred
Writing and speaking French is an asset, but not required
Excellent communication skills, both written and verbal, with the ability to deeply connect with others and enjoy meaningful conversations.
Self-managed in being resourceful in finding the answers to questions on their own, confident enough to take initiative when it is appropriate, and courageous to seek out support when needed
Consider themselves driven and growth-oriented, always aiming to give it their all, and willing to openly accept feedback in a commitment to grow personally and professionally
Comfortable working in a fast-paced, dynamic environment, while maintaining organization, accuracy / detail-orientation, and quality in their work
Excellent time management, and has the ability to prioritize tasks effectively
Highly organized and detail-oriented
Organizational skills, and knows how to put systems and processes in place
Availability between 9am and 5pm Eastern time preferred, though hours are flexible
