About the role:
The Operations Coordinator is an essential part of the Hakai Energy Solutions team reporting to the Operations & HSE Manager. This is an in-person, full-time role based at our headquarters in Cumberland, BC. The role supports all administrative functions of the design office and plays a key role in scheduling and project coordination for residential, off-grid, and commercial solar projects. You will collaborate with managers and multiple departments to analyze, plan, and administer job assignments for field crews, while also overseeing the day-to-day administrative operations that support smooth project delivery. This is a dynamic, fast-paced position requiring strong organizational skills, flexibility to respond to last-minute schedule changes, and a proactive approach to problem-solving. You bring a passion for process improvement, a detail-oriented mindset, and the motivation to contribute to a growing, mission-driven team in the renewable energy sector.
Key Responsibilities:
Scheduling
Develop and maintain project and crew schedules.
Coordinate travel, accommodations, and transportation for crews.
Adjust schedules as needed to respond to changing project timelines or staffing needs.
Monitor progress of projects and support completion tracking.
Report to the managers frequently regarding project status and crew availability.
Administrative Support
Answer and route incoming calls utilizing the staff directory, assist in-person walk-in clients, and support general office communication.
Maintain accurate records and documentation for ongoing and completed projects.
Prepare job folders and printed materials for field crew use.
Pull electrical permits, report inspections and completion status to regulatory electrical bodies.
Support HSE activities and safety documentation requirements.
Additional administrative duties as assigned.
Project & Client Coordination
Track and manage project details using project management and CRM software.
Update internal systems with client communications and project milestones.
Scheduling warranty work, service calls, and client follow-ups.
Support cross-functional teams in process documentation and workflow improvement.
Other duties as assigned.
