Operations Coordinator.
Reporting to the EHS Communications Manager and General Manager, this is a permanent, full-time position. Hours of work are a regular 40-hour work week, Monday to Friday.
Job Duties:
Corporate:
Learn the business operations from the front-end tasks to the backend processes and systems that support operations and project personnel
Proactively identify and resolve issues that may arise
Provide solutions and recommendations to improve processes and efficiency
Assist with projects and initiatives, providing support in planning, execution, and monitoring progress
Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items
Assist in planning and organizing company events
Assist with various marketing efforts such as social media posting, preparing for tradeshows, updating the CRM suite, and ordering marketing materials
Client Project Support
Project start up, including setting up contracts, and close out
Track project milestones and budget
Data entry, photolog development, and report building
Document review and formatting
Proposal writing
Project invoicing and account receivable follow ups
Client communication
Assisting with preparation for training courses
Front Office
Provide back up to front office administration including booking travel, scheduling couriers, acting as first point of contact for visitors and clients at the office and by phone
Requirements:
At least 3 years of experience in office and/or project administration
Completion of a Degree in Business Administration or equivalent post-secondary program is a must
Advanced knowledge of the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, and SharePoint), and Adobe Acrobat
Superior written and verbal communication skills
System-oriented with ability to easily adapt to new platforms
Highly organized with good time management skills
Detail oriented with strong multitasking skills
Good relationship building skills for creating and maintaining cooperative working relationships both internally and externally
Able to work proactively to complete tasks and responsibilities independently
